About The Position

The University of Miami/UHealth Department of neurology has an exciting opportunity for a full-time Clinical Business Operations Representative 3 (H) to work in Miami, FL. The Clinical Business Operations Representative 3 facilitates the prompt resolution of problems related to pre- and post-care that arise in daily clinical operations. The incumbent performs general administrative and receptionist functions, to include answering incoming calls, efficient management of patients, and the acquisition of necessary patient care and records. The Clinical Business Operations Representative 3 assists patients in a courteous, efficient and professional manner and ensures adherence to divisional and departmental service standards.

Requirements

  • High School Diploma or equivalent/relevant experience, certification or license

Responsibilities

  • Assists the department in managing expectations surrounding pre- and post-patient care.
  • Obtains or reviews all patient demographic information, insurance information, and referral numbers.
  • Reviews clinical records for completeness including authorization, signatures, missing data, and other patient information.
  • Answers multiple telephones for the department: triages incoming calls, responds to questions, directs calls, and documents messages in the appropriate software.
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate employee according to their needs.
  • Works cooperatively with fellow employees to solve problems and enhance the smooth and efficient flow of the practice.
  • Provides coverage for responsibilities of co-workers when assigned or as need arises.
  • Develops and promotes the use of effective methods of communicating with physicians, managers, peers, trainees, and staff on a regular basis.
  • Maintains confidentiality of all information.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Answer phones, triage, and follow through on messages and information requests from patients using UChart, as well as internal and external customers.
  • Create, update, and distribute the Neuroendovascular on-call calendars for physicians at Jackson Memorial Hospital and UHealth Tower.
  • Manage and optimize physicians' clinical schedules.
  • Facilitate and serve as the point of contact for patient appointments at UM satellite locations.
  • Maintain communication with Jackson Memorial Hospital and UHealth Tower clinical staff to optimize hospital clinic schedules.
  • Proactively fill appointment cancellations, reschedule patients, and manage other unanticipated openings.
  • Interact daily with the Division Director and Neuro Core staff regarding scheduling changes, new appointments, and related updates.
  • Ensure physician schedules are communicated in an organized and accessible manner.
  • Serve as the point of contact for invoices, databases, and reports.
  • Maintain historical records of physician schedules.
  • Coordinate and oversee appointments for VIP patients, as needed.
  • Provide administrative coverage for other administrative assistants within the department.
  • Process and manage authorizations for procedures and medications.
  • Work closely with the department's clinical operations staff to ensure seamless coordination between faculty members' clinical, academic, and administrative responsibilities.
  • Assist faculty, managers, and the Finance Division with the preparation of multimedia presentations and annual reports for senior management.
  • Manage and coordinate special projects, including space planning, conference planning, speaker engagements, special meetings, and all related logistics.
  • Prepare and manage general and professional correspondence.
  • Coordinate physicians' academic and clinical calendars, including interviews, meetings, lectures, conferences, and departmental meetings.
  • Submit leave requests and PLRs.
  • Attend University and departmental meetings, as required.
  • Coordinate travel arrangements, including hotel reservations, airfare, and required University of Miami reimbursement documentation.
  • Maintain updated records of licenses, DEA registrations, memberships, and CME documentation.
  • Assist with initial credentialing and recredentialing, as needed.
  • Ensure membership dues are paid and maintained.
  • Generate purchase requisitions and reimbursement requests.
