About The Position

The Clinical Assistant is responsible for escorting patients, initiating sensitive conversations, and documenting patient information in the electronic health record. This role involves verifying demographic information, obtaining vital signs, registering patients for the patient portal, and providing education on its use. The Clinical Assistant also evaluates responses to social determinants of health (SDOH) questions and reports high-risk responses to the care team. Responsibilities include pre-visit planning, following up on patient reminders, managing outstanding lab and imaging orders, assisting with specialist referrals, and labeling results. The role also involves performing federal urine drug screenings, collecting finger stick A1c’s, performing blood draws, calibrating and maintaining laboratory equipment, and annotating patient charts with lab results. Additionally, the Clinical Assistant contacts patients with findings, performs documentation, conducts daily equipment checks, cleans and sterilizes instruments, cleans exam rooms, and restocks supplies. The role includes counseling patients on scheduling, medication refills, and answering clinical calls. Patient satisfaction, teamwork, problem-solving, productivity, and adherence to departmental policies are key aspects of this position.

Requirements

  • High school diploma (or G.E.D.)
  • Valid CNA License in the state of West Virginia or experience as a PCA
  • Current Basic Life Support (BLS) certification.
  • Must be able to operate a variety of medical equipment such as EKG and Autoclave machines.

Responsibilities

  • Escort patients to the exam room and initiate sensitive conversations.
  • Verify demographic information, emergency contacts, next of kin, preferred pharmacy, HIPAA Notice of Privacy Practices, family size and income level, social security number, medical release forms, etc. and document in the patient’s electronic health record.
  • Ensure that registration paperwork is completed annually.
  • Assist patients with electronic check-in when necessary.
  • Obtain and record patient vital signs (height, pulse, temperature, visual acuity, weight, and measures blood pressure, head circumference when indicated for patients).
  • Register the patient for the patient portal, if applicable, and provide education on its use.
  • Evaluate the responses to the social determinants of health (SDOH) questions and provide community resources packet to the patient when indicated.
  • Report responses associated with “high risk” to all care team members.
  • Call patients before their appointment for pre-visit planning, including asking about changes since the last visit, requesting consultation notes, reminding about outstanding orders and co-pays, and confirming insurance eligibility.
  • Follow up on patient reminders and outstanding lab and imaging orders.
  • Check specialist referrals and request consult notes.
  • Label incoming results and consult notes correctly.
  • Assist with patient pill counts and perform federal urine drug screenings after appropriate training.
  • Collect finger stick A1c’s and perform blood draws based upon training level.
  • Calibrate and maintain laboratory equipment.
  • Annotate patient charts with lab results and contact patients with findings.
  • Perform accurate and thorough documentation in the patient chart of results and patient outreach.
  • Perform daily equipment checks and sanitary duties for equipment.
  • Clean and sterilize instruments daily and/or after immediate use using Autoclave system.
  • Perform quality checks on the Autoclave and document findings.
  • Clean exam rooms after each patient and restock with standard supplies.
  • Counsel patients in the office and on the phone concerning scheduling, medication refills, and medication questions.
  • Answer patient clinical calls and questions and direct them to appropriate individuals if unable to answer inquiries.
  • May be required to serve as medical receptionist depending upon need.
  • Other duties as assigned.
  • Assist patients, family members or other clients with concern and empathy; respect their confidentiality and privacy and communicate with them in a courteous and respectful manner.
  • Answer and refer telephone calls or other inquiries to ensure accurate and timely communications are facilitated.

  • Assist in the orientation/training of new Team Members.

  • Follow proper reporting procedures for actual or potential accidents and/or incidents.
  • Record/report the need for service maintenance or repair of equipment and remove any faulty equipment from service.
  • Consistently evaluate work and determine if further steps are needed to meet patient expectations.
  • Take the initiative to do or redo inadequate or incomplete work, even if it is not yours.
  • Ensure compliance with regulatory standards.
  • Consistently demonstrate ability to respond to changing situations in a flexible manner.
  • Minimize non-productive time and fill slow periods with activities that will enable you to prepare to meet the future needs of the System.
  • Organize job functions and work area to be able to effectively complete varied assignments within established time frames.
  • Consistently demonstrate ability to take the initiative to make decisions/choices without direct supervision.
  • Demonstrate knowledge and understanding of all policies and procedures and ability to reference them from appropriate books and manuals.
  • Comply with the System's infection control policies and procedures including Body Substance Isolation (BSI) and the Exposure Control Plan which reflects OSHA Bloodborne Pathogens Standard.
