About The Position

The Clinical Assistant performs duties including preparing and scheduling patient and guest treatment rooms, preparing daily work schedules for clinical staff, and accurately gathering and entering pertinent information into the computer. This role involves typing forms and correspondence, preparing departmental documents and reports, assisting individuals in person and over the phone, scheduling appointments, anticipating the needs of patients and guests, and maintaining departmental records and files. The Clinical Assistant is also responsible for cleaning and maintaining all equipment and treatment areas, ordering department supplies, and performing a variety of secretarial/administrative tasks as assigned.

Requirements

  • High school diploma or GED
  • Working knowledge of office and registration procedures
  • Knowledge and understanding of functions of assigned departments
  • Written, typing and computer skills necessary for the creation and compilation of various documents, communications and reports
  • Interpersonal skills necessary to provide courteous and accurate information, on the phone and in person, to all levels of staff, patients, families, outside vendors and others.
  • Demonstrates professional appearance

  • Is responsible for creating a destination, experience-based service, delivers customized experiences using patient profiles
  • Organizational skills to prioritize work flow and maintain department files

  • Physical ability to properly operate required rehab and office equipment
  • Ability to read and understand labels and instructions on cleaning solutions and equipment
  • Demonstrates ability to use a keyboard as may be required to perform the essential duties of the job

Nice To Haves

  • CPR/BCLS certification preferred
  • Experience in a medical related field preferred
  • Customer service experience preferred
  • Medical Terminology preferred

Responsibilities

  • Prepares and schedules patient and guest treatment rooms.
  • Prepares daily work schedules for clinical staff.
  • Accurately gathers pertinent information and enters it into the computer.
  • Types forms/correspondence and prepares departmental documents and reports.
  • Assists individuals in person and over the phone, scheduling appointments.
  • Anticipates the needs of patients and guests.
  • Maintains departmental records and files.
  • Cleans and maintains all equipment and treatment areas.
  • Orders department supplies.
  • Performs a variety of secretarial/administrative tasks as assigned.
  • Greets and checks in patients and guests; provides information and assistance as needed in person and by phone; refers individuals to appropriate personnel.
  • Schedules clinical evaluations, follow-up appointments, and other patient/client appointments.
  • Obtains required patient information.
  • Gathers patient and guest preferences: preparing treatment rooms and focusing on creating an excellent patient experience.
  • Assists patients and guests with completion of required paperwork; ensures accuracy and completeness of paperwork and enters persons into computer system.
  • Refers patients and guests to other hospital services.
  • Restocks supplies, changes/launders linens, and notifies appropriate personnel of unsafe conditions and/or equipment in need of repair.
  • Conducts follow-up with outside vendors as necessary.
  • Performs clerical related tasks i.e. typing, copying and filing.
  • Establishes and maintains departmental records and files.
  • Opens, maintains orderly appearance and atmosphere, and closes department.
  • Attends staff meetings and in-services as assigned. Records meeting minutes as directed.
  • Supports and serves as a role model for our mission, vision, values and customer service initiatives.
  • Adheres to the organization’s policies & procedures, and compliance guidelines.
  • Performs other duties as assigned.
