About The Position

The Clinical Assistant Associate Director provides senior level oversight and strategic direction for the entire Clinical Assistant (CA) operation, managing a team of 35 to 40 FTEs with the support of 3 to 5 Leads and Managers. This role is responsible for driving team performance, aligning CA operations with facility level and organizational goals, and ensuring provider productivity across all assigned nursing home sites. The Associate Director owns workforce planning, performance management frameworks, and in service education strategy for the CA division. The ideal candidate is a seasoned operational leader who brings a track record of managing large teams in a healthcare environment, can navigate complex multi site dynamics, and knows how to build scalable processes that deliver measurable results.

Requirements

  • Bachelor’s Degree in related field
  • Medical School Degree
  • Excellent communication skills
  • Confidence when speaking to clinicians and business leaders
  • Computer literate (Excel, Word, Outlook, Teams)
  • Strong organizational skills to give team direction
  • Knowledge of care provided in Nursing Homes
  • Aware of and complies with E&M Guidelines for Nursing Home Care
  • Able to navigate various EHR systems

Responsibilities

  • Provide executive level oversight of the full CA operation (35 to 40 FTEs), directly managing 3 to 5 Leads and Managers who supervise frontline Clinical Assistants across all assigned nursing home sites.
  • Set and monitor team performance standards, KPIs, and alignment with facility specific and organizational goals across all sites.
  • Ensure onsite CA presence is coordinated to obtain consents, complete administrative tasks, and support facility level operations that require physical presence.
  • Analyze provider productivity metrics at a divisional level and develop strategies with Leads/Managers to improve efficiency and performance across the network.
  • Own the performance tracking framework for all CAs and supported Providers, ensuring data is current, actionable, and reported to senior leadership regularly.
  • Design and oversee the in service education and coaching program for the CA team, ensuring Leads and Managers are equipped to address documentation gaps and performance issues at the site level.
  • Lead workforce planning and staffing optimization across the division, ensuring appropriate coverage at all sites, managing headcount allocation, and redeploying resources based on census and operational needs.
  • Drive new initiatives, pilots, and high priority projects from planning through execution, delegating appropriately to Leads/Managers and ensuring accountability at every level.
  • Serve as the primary point of contact between the CA division and senior leadership, providers, and cross functional departments (e.g., credentialing, compliance, training, billing) to ensure operational alignment and escalate issues proactively.
  • Identify systemic process gaps, build scalable solutions, and present improvement recommendations to leadership that support the division’s continuous growth and operational efficiency.
