The role of a Clinic Supervisor manages the daily activities of the corresponding medical clinic or pod including providing leadership and supervision of the Medical Assistants. Ensures clinic flow is established by serving as a liaison and resource point between provider needs and clinical resources. Takes initiative and exercises independent judgment, decision-making and problem solving based on company policies and state or federal regulations.

Requirements

  • Bachelor's degree in related field, or a combination of related education and experience.
  • Minimum five (5) years of experience as a Medical Assistant or LVN in a primary care healthcare setting; previous supervisory or lead experience preferred.
  • Current valid certification as a Medical Assistant or LVN and CPR/ACLS certification.
  • Knowledge of government and reimbursement regulations and requirements, specifically as it relates to Medi-Cal, Medicare, and Covered California insurances.
  • Managerial experience and expertise with strong leadership, planning, organizing, delegating and supervisory skills.
  • Ability to organize, prioritize and efficiently carry out duties and assignments with little direct supervision.
  • Ability to interact effectively and professionally with people of all backgrounds and maintain effective relationships with staff, patients, public and external agencies.
  • Must be able to act calmly and effectively in a fast-paced environment.
  • Ability to research and prepare reports or other correspondence as required.
  • Strong analytical, employee relations, and excellent interpersonal skills.
  • Excellent writing, business communication, editing, and proofreading skills.
  • Ability to interact effectively and in a supportive manner with persons of all backgrounds.
  • Proactive, self-motivated and able to work independently as well as on a team with the ability to exercise sound independent judgment.

  • Must have good computer skills using Microsoft Office and the ability to use Axis departmental systems.
  • Must be able to use office equipment (i.e. copier, fax, etc.).

Responsibilities

  • Oversee the operations of the corresponding clinic or pod and direct the provision of patient services to include ensuring optimal patient flow and the provision of high-quality services.
  • Acts as the secondary operations point of contact and liaison for the Stanford Family Medicine Residency Program, ensuring seamless daily operations and efficient program coordination.
  • Ensuring that compliance is maintained with all policies and procedures regarding patient health information.
  • Leadership – Develop strong teamwork to meet department and patient needs. Lead staff to accomplish all job objectives; inspire confidence and motivation; clearly define and communicate expectations and maintain personal effectiveness under pressure.
  • Supervise Medical Assistants, to include hiring, training, evaluating, and conducting disciplinary and other personnel actions.
  • Ensure that Medical Assistants provide services to patients that are within their scope and in accordance with company, state and federal regulations that govern their position.
  • Ensure that excellent customer service is being provided to patients.
  • Monitors patient service feedback and contributes to the process of resolving complaints and de-escalations while supporting a positive image of Axis inside and outside the organization.
  • Ensure direct reports are completely trained and up to date on any workflow and policy changes.
  • Support and address provider requests in a timely manner, escalating as needed to upper management.
  • Follow and maintain the provisions and guidelines of the various insurance policies, as it relates to the clinic, patients and other related third parties.
  • Ensure that services are provided appropriately to the patient's needs and in full compliance with established medical protocols and legal and programmatic requirements.
  • Maintain and order clinic supplies, including immunizations under VFC/VFA program.
  • Assist site manager with audits.
  • Develop weekly schedule for Medical Assistants and ensure coverage for scheduled time off.
  • Conduct weekly huddles with Medical Assistants and promote a team-oriented environment.
  • Assist in the development and implementation of policies and procedures, goals, appropriate to the clinical area.
  • Maintain pleasant, safe, and professional working and treatment environment in the clinic.
  • Mitigate and/or resolve any potential risks, hazards, and nuisances.
  • Provide back-up assistance for other Clinic Site Manager and staff as needed.
  • Participate in staff meetings, and attend other meetings and training events as assigned.
  • May be required to perform other related duties, responsibilities, and special projects as assigned.
