About The Position

The Clinic Staff Assistant I (CSA I) operates primarily at the front desk of the Las Colinas Clinic supporting all specialties in the Las Colinas clinic, engaging with patients and staff to support administrative and scheduling functions crucial to clinic operations. This role assists with patient registration, scheduling, insurance verification, referral processing, and point-of-service collections while maintaining a high standard of patient confidentiality and excellent customer service. Key responsibilities include managing appointment scheduling, rescheduling lists, and confirmation calls to reduce no-shows and late cancellations. Addressing phone inquiries, documenting calls, and managing EPIC in-basket encounters ensures timely responses. Perform point-of-service collections and manage payment handling. Organize and welcome the front desk and waiting areas. Reschedule appointments promptly in case of clinic closures. The Clinical Staff Assistant I directly interacts with patients on the phone and/or face-to-face under direct supervision to: support medical front office business operations in an outpatient clinical setting and maintain a patient centered attitude at all times, demonstrating compassion and empathy for patients and their families. Requirements

  • High School Diploma or GED with prior customer service experience required.
  • Successful completion of CSA competencies in two (2) clinical front office operations within 6-12 months of hire.

  • Learns and demonstrates proficiency in a minimum of two (2) of the following clinical front office operations within 6-12 months: Registration, Scheduling, Inbound call documentation, Insurance Entry and Verification, Referrals Management, Cash Drawer, Payment Posting and Check-in/Check-out.
  • Learns and maintains up-to-date knowledge of Epic electronic medical record (EMR) system user operations, front office clinical workflows and policies and procedures.
  • Delivers superior customer service, representing UT Southwestern in a positive and professional manner to patients, colleagues and the community.
  • Builds rapport and communication with internal and external team members to ensure best outcomes for the patient in a comprehensive clinical care model.
  • Maintains patient confidentiality in accordance with HIPAA and UT Southwestern policy.
  • Maintains neatness of customer waiting area; keeps area stocked with pamphlets and other materials as appropriate.
  • Ensures adequate inventory of items necessary for day-to-day functions of clinic, such as office supplies and patient forms.
  • Performs other duties as assigned.
