About The Position

The Clinic Receptionist is responsible for providing clerical support, managing patient scheduling and registration within the Epic system, and ensuring a positive patient experience. This role involves handling incoming calls, welcoming visitors, managing mail and supplies, and assisting patients with MyChart signups. The position also requires collecting co-payments, processing payments, and maintaining patient confidentiality. The Clinic Receptionist plays a key role in the daily operations of the clinic, ensuring efficient patient flow and accurate record-keeping.

Requirements

  • High School diploma or equivalent preferred.
  • Previous medical reception or reception experience preferred.
  • Basic knowledge of keyboard skills and medical terminology preferred.
  • Good interpersonal & written communication skills.
  • Basic knowledge of Epic preferred.

Responsibilities

  • Answer incoming telephone calls, determine purpose of callers, and forward calls to appropriate personnel.
  • Route Epic Messages to nursing and provider as appropriate.
  • Retrieve messages from voice mail and forward to appropriate personnel.
  • Answer questions about the organization, physicians, and available services, providing callers with address, directions, and other information.
  • Welcome on-site visitors, determine nature of business, and announce visitors to appropriate personnel.
  • Monitor visitor access and issue passes when required.
  • Receive, sort, and route mail, and maintain and route publications.
  • Order, receive, and maintain office supplies.
  • Maintain fax machines, assist users, send faxes, and retrieve and route incoming faxes.
  • Create and print fax cover sheets, memos, correspondence, reports, and other documents.
  • Perform other clerical duties as needed.
  • Schedule patient appointments.
  • Perform EMR (Electronic Medical Records) registration /check-in processes in Epic.
  • Load, verify, and update patient demographics.
  • Scan, load, and verify insurance coverage.
  • Collect signed HIPAA and Consent for Treatment documents, update the interactive face sheet and send documents to Medical Records for scanning.
  • Review all "Alerts" in Epic and refer patient to a PFC when necessary.
  • Collect co-payments and other self-pay obligations when required and post in Epic when registering patient.
  • Provide patient with an estimated self-pay obligation when appropriate.
  • Perform cashiering functions/online payment posting within Epic.
  • Process payments and deposits by adhering to the system's Cash Handling Policy.
  • Complete daily closing report and balance individual cash drawer at the end of each day.
  • Perform petty cash count in and out daily and record appropriately.
  • Assist patients with MyChart signup and activation.
  • Reply to MyChart messages in a timely manner, closing messages when complete.
  • Safeguard patient privacy and confidentiality per MHS policies.
  • Prep and route daily for upcoming appointments for frontline registration.
  • Review daily work queues and correct identified patient registration errors.
  • Utilize Epic waitlists based on provider preference.
  • Review and update no-shows and cancellations for the day.
