About The Position

The Clinic Receptionist is responsible for the overall reception and secretarial duties of the clinic. This includes answering and transferring phone calls, scheduling patient appointments, interviewing patients to gather necessary information, and entering patient information into the computer system for registration purposes. The role also involves scanning incoming and outgoing paper documents, verifying their accuracy, clarity, and completeness. Responsibilities may include floating to other clinic areas as needed and assisting with hospital admissions to support patient access and clinic operations. The position primarily involves daytime hours but includes one evening clinic per week until 8:00 PM.

Requirements

  • High school diploma or equivalent.
  • Strong clerical skills.
  • Proficiency in keyboarding and operating other office equipment.
  • Ability to learn and navigate computer systems, including online training modules, employee timesheet, and performance appraisal system.
  • Must have good interpersonal skills.
  • Demonstrated organizational ability.
  • Ability to read, speak, and write fluent English.

Nice To Haves

  • Certified Medical Assistant preferred.
  • Previous experience in a receptionist/secretarial role, especially in a clinic setting, preferred.
  • Knowledge of medical terminology and CPT/ICD codes preferred.

Responsibilities

  • Greets patients and families in a professional and friendly manner.
  • Answers incoming calls, transfers calls, and communicates information appropriately and politely.
  • Initiates appointment reminders to patients.
  • Collects necessary patient information, including insurance cards, photo IDs, new patient information, advance directives, Medicare Secondary Payor forms, Conditions of Admission forms, health history forms, and insurance co-payments.
  • Scans patient documents into the Electronic Medical Record (EMR) and appropriately places them within the patient's EMR.
  • Updates visit status in the EMR upon patient arrival and departure.
  • Presents Notice of Privacy Practices pamphlet and ensures the Acknowledgement of Receipt of Notice form is signed.
  • Offers Rights and Responsibilities pamphlet if requested.
  • Presents advance directive pamphlet to patients 18 years of age and older.
  • Accurately enters patient information into the EMR to complete registration processes.
  • Notifies supervisor of any noted errors.
  • Maintains a working knowledge of office supply ordering processes.
  • Adheres to all applicable WHC and regulatory requirements.
  • Monitors and acts on billing, meaningful use, and global alerts.
  • Scans incoming/outgoing paper documents as directed, organizes documents within EMR, checking for accuracy and clarity, and manipulates scanned documents for readability.
  • Sorts and distributes incoming mail.
  • Maintains cleanliness of the clinic waiting area.
  • Seeks guidance from the manager with questions or departmental concerns.
  • Notifies appropriate personnel of situations requiring follow-up.
