About The Position

This is a Patient Access Department position with a 0.6 FTE (24 hours per week) on a 1st/2nd shift rotation, including every 3rd weekend and rotating holidays. The role requires flexibility to rotate to other clinics and assist with hospital admissions as needed. The primary functions involve overall reception and secretarial duties for the clinic, including managing phone calls, scheduling appointments, interviewing patients for necessary information, and entering patient data into the computer system for registration. The position also includes scanning incoming/outgoing documents, verifying their accuracy, clarity, and completeness.

Requirements

  • High school diploma or equivalent.
  • Strong clerical skills.
  • Proficiency in keyboarding and operating office equipment.
  • Ability to learn and navigate computer systems, including online training modules, employee timesheet, and performance appraisal system, as well as job-specific systems.
  • Good interpersonal skills.
  • Demonstrated organizational ability.
  • Ability to read, speak, and write fluent English.

Nice To Haves

  • Certified Medical Assistant preferred.
  • Previous experience in a receptionist/secretarial role, especially in a clinic setting, preferred.
  • Knowledge of medical terminology and CPT/ICD codes preferred.

Responsibilities

  • Greets patients/families professionally and friendly.
  • Answers incoming calls, transfers calls, and communicates information politely.
  • Initiates appointment reminders to patients.
  • Collects necessary patient information, including insurance cards, photo IDs, new patient information, advance directives, Medicare Secondary Payor forms, Conditions of Admission forms, health history forms, and insurance co-payments.
  • Scans patient documents into EMR and places them appropriately.
  • Updates patient visit status in EMR upon arrival and departure.
  • Presents Notice of Privacy Practices pamphlet and ensures Acknowledgement of Receipt of Notice form is signed.
  • Offers Rights and Responsibilities pamphlet if requested.
  • Presents advance directive pamphlet to patients 18 years of age and older.
  • Accurately keys patient information into EMR for registration.
  • Notifies supervisor of any noted errors.
  • Maintains a working knowledge of office supply ordering, WHC and regulatory requirements, and monitors/acts on billing, meaningful use, and global alerts.
  • Scans and organizes paper documents within EMR, ensuring accuracy and clarity, and manipulates scanned documents for readability.
  • Sorts and distributes incoming mail.
  • Maintains cleanliness of the clinic waiting area.
  • Seeks guidance from the manager for questions or departmental concerns.
  • Notifies appropriate personnel of situations requiring follow-up.
