Services include obstetrics, gynecology, urogynecology, infertility support, and inclusive LGBTQ+ care. As a Clinic/Practice Assistant, you will be an essential part of our community-based practice and help create a welcoming, efficient experience for every patient. You will support daily administrative and clinical operations, coordinate patient visits, respond to calls and requests, and partner with practice leadership, clinicians, and colleagues in a high-volume outpatient setting. Requirements

  • High school diploma or equivalent required.
  • Up to one year of healthcare office experience required.
  • Basic proficiency with Microsoft Office applications.
  • Knowledge of office procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to use a phone system, manage non-routine calls, and resolve routine issues appropriately.
  • Clear and effective verbal and written communication skills, including composing and editing emails, memos, and letters and taking complete, accurate messages.
  • Strong organization and time-management skills, with the ability to manage multiple tasks, follow established protocols, and work effectively within systems.

Responsibilities

  • Perform routine administrative and clerical duties that support the clinical service and physician practice.
  • Schedule patient appointments and maintain accurate appointment records.
  • Welcome and assist patients throughout their visit.
  • Answer incoming calls, respond to routine questions, take messages, and route inquiries appropriately.
  • Support check-in, check-out, patient flow, and waiting room activity.
  • Process referrals, diagnostic and laboratory orders, prior authorizations, and registration information.
  • File and scan documents, print schedules, and maintain patient records.
  • Obtain medical records and laboratory test results.
  • Process patient billing forms and, when required, accept co-payments.
  • Open and distribute mail and faxes, and prepare forms, records, schedules, and memos as directed.
  • Provide general support to practice leadership, clinicians, and colleagues.
