About The Position

The Elfers Cardiovascular Center, located at Newton-Wellesley Hospital, provides comprehensive outpatient care for patients at high risk of heart disease, including diagnosis, management of acute and chronic conditions, and preventive care. This role may require local travel to other Newton-Wellesley Cardiology sites for cross-coverage. The position is full-time, 40 hours per week, onsite, Monday through Friday, 8:30 am to 5:00 pm. The Clinic/Practice Assistant performs both administrative and clinical functions to ensure smooth and efficient clinical service or practice operations with minimal supervision. This includes patient scheduling, check-in, and check-out, and may involve more complex scheduling functions. The role also acts as a "Super User" for scheduling, registration, and billing systems, providing assistance and training to colleagues. The assistant offers functional guidance to other Office and Practice Assistants and, in conjunction with a Supervisor, oversees daily practice staff activities. Handling co-payments, messages related to prior authorizations, provider questions, prescription refills, and test results may also be required.

Requirements

  • High School Diploma or Equivalent required.
  • Experience in administrative roles, preferably in a healthcare setting: 3-5 years required.
  • Ability to commute to various locations/reliable transportation required.

Nice To Haves

  • Associate's Degree Health Administration preferred.
  • Associate's Degree Related Field of Study preferred.
  • Experience in a supervisory or leadership role: 1-2 years preferred.

Responsibilities

  • Perform routine administrative and clerical duties relating to a clinical service or physician practice office.
  • Make patient appointments and maintain appointment records.
  • Assist callers with routine inquiries, and schedule appointments.
  • Process patient billing forms and scan documents to patient medical record/LMR.
  • Act as "Super User" for scheduling, registration and billing systems.
  • Provide assistance and training to others in these areas.
  • May perform more complex or specialized functions (i.e. surgical scheduling, schedule changes/blocking) at more advanced competency level.
  • Provide functional guidance to Office and Practice Assistants.
  • In conjunction with Supervisor oversees daily activities of practice staff.
  • May be required to accept co-payments.
  • Handles, screens and/or takes messages related to prior authorizations, provider questions, prescription refills, and test results.
