About The Position

The Clinic Operations Manager manages the day-to-day operations of an assigned operational area, which may consist of multiple departments. Maintains a productive and professional environment, promotes excellent internal and external customer relations and coordinates the assignment of tasks to the support staff. Supervises the performance of support staff and ensure efficient and cost effective operations within area of responsibility.

Responsibilities

  • Participate in the planning for new business opportunities and services in support of the CNMC mission.
  • Maintain effective working relationships with hospital departments and ROCs and represent CNMC in professional groups and community outreach activities.
  • Assist with marketing of department/ROC with Public Relations, the external referring physicians, internal departments and physicians.
  • Participate in the implementation and evaluation of services, programs, and performance standards to achieve departmental goals.
  • Coordinate daily activities of support staff with regard to workload requirements and available resources.
  • Provide troubleshooting, problem-solving and backlog reduction expertise to staff.
  • Monitor appointment and registration quality, report problems and recommend solutions to ensure standards are met.
  • Monitor clinic flow, implement performance improvement initiatives to ensure physician and staff productivity.
  • Serve as primary contact for all administrative services for practices based at the location, including to schedule template building, materials management, nursing support and communicate as necessary with relevant parties.
  • Promote awareness of and adherence to organizational, state and federal regulatory standards to ensure quality of patient service delivery.
  • Participate in the ongoing assessment of Practice Operations policies and procedures to establish continued feasibility.
  • Responsible for the provision of a safe, secure, clean work and patient care environment including the full functionality of equipment and being able to interact with the applicable business contacts/service vendors to ensure the availability of services at all times.
  • Monitor space utilization to ensure proper use of space and expansion needs are met.
  • Prepare documentation and projections to support the operating and capital budget planning process.
  • Evaluate and recommend purchase of new equipment needed to maximize productivity and quality of care.
  • Implement actions to facilitate meeting budget requirements and administer programs within budgetary guidelines.
  • Ensure daily reconciliation of schedules and charge documents occur; charge documents are complete with CPT and ICD-9 coding; demographic changes have been made in the system, and appropriate referrals are attached.
  • Coordinate the verification of insurance eligibility and coverage and authorization as needed.
  • Maintain/coordinate filing system of all charge documents.
  • Work all established charge reports to correct billing errors and identify staff training needs.
  • Respond to inquiries and complaints regarding Charge Entry.
  • Coordinate Reimbursement Associates to ensure timeliness and accuracy of billing.
  • Participate in the establishment and revision of procedures, performance standards and productivity targets for Reimbursement Associates.
  • Participate in Shared Leadership.
  • Contribute to CNMC’s Magnet Journey.
  • Ensure nursing practice is based on evidence of best practice.
  • Accountable to participate in the Division of Nursing’s Performance Improvement process (division or unit level).
  • Participate in community activities.
