About The Position

The Clinic Manager holds 24-hour accountability for the efficiency of operations, and human resources management for area(s) assigned. The Clinic Manager promotes a positive and professional environment; supervises front-line staff; maintains a stable and productive staff; involves staff in Shared Governance and Magnet Forces; and makes data driven decisions. They will role model performance and behaviors that are consistent with the values of the organization, furthering its mission, vision and strategic plan. Performs complex and varied administrative assignments. Serves as the departmental leader responsible for overseeing all regulatory and compliance matters pertaining to CMS. Works in close collaboration with transplant administrative leadership, transplant physicians, outreach coordinators, and business development staff to maintain and improve all referral source relationships. Other duties as assigned. Responsible in assisting and/or identifying and pursing new business opportunities, developing strategic partnerships, and building relationships with key stakeholders. Attends outreach and implements new events to drive revenue and patient satisfaction. Possesses strong communication skills and strong business acumen that allows for deal negotiation and profitable partnerships. Manages all clinical operations of the Heart Transplant, Mechanical Circulatory Support, and Liver Program under the direction of the Transplant Administrator. Responsible for all pre-liver transplant, post liver transplant, and living donor transplant management. Responsible for all pre-heart transplant, post heart transplant, and LVAD management. Manages clinical responsibilities of transplant, including directing the work of clinical supervisors of transplant. Oversees operations of patient care programs. 24/7 oversight responsibilities for the transplant program. Directs nursing practice, education, and services. Supervises the utilization of resources and the application of new technological developments in patient care. Performs complex and varied administrative and clinical assignments. Serves as a personal contact for physicians, staff, and outside departments in order to address problems, issues or concerns that require attention. Other duties as assigned. Responsible for identifying and pursing new business opportunities, developing strategic partnerships, and building relationships with key stakeholders. In charge of successfully leading business development initiatives and driving revenue growth within respective organ groups. Attends outreach and implements new events to drive revenue and patient satisfaction. Possesses strong communication skills and strong business acumen that allows for deal negotiation and profitable partnerships. Responsible for program marketing and brand development. Maintains multiple marketing channels through social media platforms such as LinkedIn, Instagram, and Twitter.

Requirements

  • High School or equivalent
  • Bachelor’s Degree in a related field
  • 1 year Supervisory experience
  • Excellent people management skills

  • Ability to bridge the gap between administrative demands and clinical needs
  • High skill and experience in process improvement.
  • Progressive leadership experience in a Transplant Program culminating in a Manager level role.
  • Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire, and maintained by renewal before expiration date. (Required within LA City only)

Responsibilities

  • Works in close collaboration with transplant administrative leadership, transplant physicians, outreach coordinators, and business development staff to maintain and improve all referral relationships.
  • Maintains high level of customer service to all internal and external customers by communicating performance standards and expectations to clinic staff, coaches, mentors and develops staff, administering customer satisfaction surveys and responses to them and orient and train staff on specific clinic work processes.
  • Organizes and directs operational processes including: Access to care, telephone service/response times, clinic dwell times, practice and procedure changes, insurance verification, timely submission and completeness of charges, billing compliance, cancellations/bumped appointments, referral tracking and follow up, registration, quality control of correspondence, scheduling and staffing to ensure excellent patient care and service.
  • Ensures successful financial performance of the clinic including: monitoring adequate financial controls for appointments, charges and payment functions, works with collaboratively with transplant administrative leadership to develop clinic budget, tracks performance and variance to budget, ensures appropriate accounting practices and procedures are followed, prepares and submits various budgetary reports, oversee purchasing and expense management, collaborates with business manager and team leader to ensure successful collections effort.
  • Participates in policy formation, long-range planning, and policy making for the hospital and the department.
  • Develops and implements administrative policies and procedures.
  • Ensures adherence to policies and procedures, provides interpretation as needed.
  • Develops and implements security related procedures such as office opening and closing routines, recognition of duress signals and key controls.
  • Coordinates security activities with University Public Safety Department.
  • Promotes and maintains standards for security conscious awareness and behavior.
  • Maintains knowledge of University’s crime prevention and suppression programs and services.
  • Ensures dissemination of security related information to staff.
  • Assesses staff education needs and oversees development of education programs.
  • Promotes staff participation in educational opportunities and activities.
  • Administers use of facilities, equipment and space, as well as maintenance and repair of existing facilities and equipment.
  • Communicates information, assignments, priorities, and special requests to staff.
  • Manages workload of staff.
  • Monitors status of pending items and follow-ups, as needed.
  • Performs other duties as assigned.
