Requirements

  • Previous reception or customer service experience required
  • High-volume client interaction experience strongly preferred
  • Veterinary, shelter, HQHVSN, animal welfare, or medical office experience preferred
  • Experience with multi-line phones, scheduling software, and point-of-sale systems preferred
  • Familiarity with PetPoint or similar shelter software is a plus
  • Comfortable with Microsoft Office programs including Word, Excel, and Outlook
  • Confident learning new technology and online systems
  • Accurate data entry and cash handling skills
  • Ability to safely work around dogs and cats of varying temperaments
  • Individuals will frequently be required to speak publicly; stand, walk or sit for extended periods, reach, bend or stoop, regularly lift and carry up to 50 pounds.
  • Ability to pass a pre-employment drug screening and background check.
  • Reception experience required; high volume (50+ contacts per day) environment preferred.
  • HQHVSN, veterinarian, animal emergency center, dentistry and/or shelter environment experience preferred.
  • Ability to communicate skillfully and effectively with diverse staff, volunteers, and community in a professional, pleasant, respectful, and courteous manner.
  • Ability to handle and assess potentially dangerous or fractious dogs and cats.
  • Ability to foster a cooperative work environment.
  • Cash handling skills.
  • Passion for the mission of Auburn Valley Humane Society.
  • Knowledge of and commitment to animal welfare issues.
  • Proficiency with Microsoft Windows and Office applications, especially Word, PowerPoint, and Excel.
  • Experience with shelter software (PetPoint) preferred.

Responsibilities

  • Welcome clients and patients with warmth, professionalism, and compassion.
  • Manage a high volume of phone calls, emails, and in-person interactions with confidence and efficiency.
  • Guide pet owners through appointments, procedures, discharge instructions, and follow-up care.
  • Help create a calm, supportive environment during what can sometimes be stressful situations for clients and pets.
  • Schedule surgery, wellness, and dentistry appointments using clinic scheduling systems.
  • Process patient intake, discharge, payments, and licensing services accurately.
  • Maintain organized and detailed medical and client records.
  • Support smooth communication between departments to keep daily operations running efficiently.
  • Collaborate closely with veterinary staff, leadership, volunteers, and fellow client service team members.
  • Support Fear Free and low-stress handling practices for all animals.
  • Represent the mission and values of NWSNC through every interaction.
  • Jump in where needed and help create a positive, solutions-focused workplace culture.
