About The Position

The Clinic Director is responsible for the supervision, direction and coordination of the day-to-day operations of Willapa Medical Clinic (WMC). This position manages business affairs, staffing plans and healthcare practices for all primary care and specialty care services provided to patients at WMC. This position is responsible for the Operational Expense Budget, developing evidence-based practice policies and for communicating and executing these with staff. This leadership role will ensure the clinic’s success through efficient operational management, human resource oversight, financial management, and performance improvement initiatives. The Clinic Director will work closely with the Medical Director and other campus leadership to optimize clinic operations, improve patient access, and ensure patient satisfaction. Utilizes knowledge of organization policies, procedures and systems. Uses skills in planning, organizing, delegating, and supervising. Must work effectively with physicians, staff, patients, public and external agencies. Uses skills in gathering and interpreting data in a physician office setting. Must have ability to take initiative and to exercise independent judgment, decision making and problem-solving expertise and ensuring compliance with all industry regulations, governmental guidelines and rural health clinic (RHC) requirements. The Clinic Director has the primary responsibility for the clinic’s operations in conjunction with the Medical Director and Executive Leaders and may delegate authority as appropriate to ensure smooth clinic functioning in accordance with their scope of practice.

Requirements

  • Excellent verbal and written communications skills required
  • Computer Experience with Electronic Medical Record experience (EPIC) preferred
  • Ability to perform the essential functions of the job

Nice To Haves

  • Advanced Degree Preferred or equivalent combination of education and experience.
  • Knowledge of Rural Healthcare Clinic Guidance preferred.
  • A minimum of 5 years management experience, preferred in clinic setting and strong knowledge of regulatory compliance, patient safety, and quality improvement practices preferred.
  • Operational Budget knowledge, strong experience in financial management, budgeting and operation oversight within a healthcare setting preferred.

Responsibilities

  • Oversees and delegates to the Clinic RN Care Coordinator Program Supervisor as a liaison between the doctors and patients, scheduling appointments, referrals importing lab reports, prioritizing faxes received, notification of prescription refill requests sending and receiving of medical records and/or reports to and from other health care professionals, addressing care gaps and gap fills for other staff as necessary.
  • Assign, supervise, and participate in the daily work of the clinic to maintain daily operations in accordance with RHC rules and regulations.
  • Demonstrates the management skills, initiative and persistence needed to accomplish goals and objectives.
  • Work directly with outpatient/ancillary service departments to ensure continuity of care for all clinic patients.
  • Work directly with Business Office Manager with regards to billing/reimbursement/charge master.
  • Work directly with coding and compliance to support compliant and accurate provider notes, charging and patient records.
  • Works closely with Medical Director to maintain readiness for audits, inspections, and licensing reviews.
  • Monitor patient satisfaction and experience data, implementing strategies to improve patient outcomes and address satisfaction issues, and patient complaint resolution.
  • Assures their department is in accordance with applicable standards, codes, laws and regulations, completing quarterly administrative chart reviews and ensure physician/provider reviews are completed for the RHC biannual review.
  • Assists with recruiting staff, orientation, training and coaching.
  • Manages personnel activities within the department and evaluates work performances annually.
  • Routinely does an assessment of compliance risks for the department and follows through with audits to ensure that the various risks are being minimized.
  • Follows up in a timely manner on requests from the Compliance Officer addressing risks and other compliance issues.

  • Manage the funds and accounts of the office and submit bills for payment.
  • Order office and medical supplies when needed while trying to keep daily office expenses low by utilizing resources in the best possible manner.
  • Contributes to helping to achieve the hospital’s goal of Financial Stability with preparation of budget and capital equipment requests.
  • Leads performance improvement activities and analyzes KPIs to improve operational efficiency.
  • Provides performance feedback to his/her staff on a regular basis and does a monthly round on staff to harvest opportunities for improvement.
  • Ensure all records of the office are maintained properly and are up-to-date.
  • Responsible for monitoring Encounter visits and Physician productivity to support the Revenue Cycle process and RHC budget.
  • Monitor and promote a safe work environment, ensuring all safety and infection control guidelines are met.
  • Work directly with the Medical Director to compile, analyze and report the Biannual RHC program review with required audit details and encounter/payer/program reports.
  • Additional duties as assigned.
