About The Position

The University of Minnesota Health Clinics and Surgery Center (CSC) clinic coordinator team ensures that patients, their families and guests have an unparalleled excellent experience at the CSC. The clinic coordinator serves as the first point of contact for patients and their families at the time of check in. Each member of the clinic coordinator team is responsible for ensuring efficient operation of patient check-in and check-out processes for the clinics they support. The team works collaboratively with clinic management and staff to support the business needs of the clinic which include, but is not limited to: working wait/reschedule list, answering clinic phones, working In-basket messages, check-in, check-out, scheduling, clinic faxes, and work queue reports. The clinic coordinator actively uses and embrace technological enhancements to support their role. They maintain a patient friendly and welcoming disposition when interacting with patients and their family. They utilize strong customer service skills and promote the organizational philosophy of patient centered care to proactively meet the needs of all patients and their families during their clinic visits and/or other interactions.

Requirements

  • Combination Education & Experience Post HS education or training with basic medical terminology and keyboarding skills.
  • 1 year of customer service experience working with the public.

Responsibilities

  • Greets and welcomes all patients and families as part of the check-in and arrival process for unparalleled excellent experience.
  • Upon completion of intake work, assists the patient to the appropriate waiting area.
  • Maintains awareness of multiple competing situations and prioritizes to assure patient/guest needs are met, while maintaining a pleasant, friendly demeanor.
  • Monitors Care Connect information and intervenes with patient if the care team is delayed, and assists the patient care team as necessary.
  • Collects patient co-payments
  • Assure that appropriate interpreter services are present if needed
  • Accurately coordinates and schedules follow up and/or future appointments and/or procedures following patient visit with provider.
  • Rescheduling appointments: Monitor reschedule list for appointments in a timely manner, contact patient, ensures provider availability, and finalize appointment.
  • Communicates effectively with all members of the care team and across departments to ensure patient care process.
  • Meets the needs of the patient and involves patient care team and management when necessary
