The Clinic Assistant performs receptionist and billing responsibilities related to clinic operations. This role involves coordinating patient information, maintaining the confidentiality of patient files, and coordinating billing functions with central offices. The position requires performing departmental clerical and receptionist functions accurately and efficiently, communicating messages promptly, and answering telephones courteously. The assistant will also greet and screen visitors, type general messages, make appointments, file documents, copy documents, and sort and distribute mail. A key part of the role is maintaining the filing system and ensuring the availability of necessary forms. Additionally, the Clinic Assistant is responsible for departmental billing functions, including producing accurate claims, preparing deposit worksheets and tickets, scanning checks, balancing accounts receivable, preparing deposit reconciliations, and preparing fee bills and vendor bills. The role also involves posting payment denials, logging payments, assisting with monthly statements, and maintaining medical records accurately. This includes reviewing active medical records, filing diagnostic reports, and managing unit supplies and charges. The assistant will also place weekly food orders and facilitate communication with patients, families, visitors, and healthcare providers, reporting relevant information to the manager. Prioritization, organization, and responsiveness to requests are essential. The role requires participation in hospital committees, meetings, and team projects, demonstrating punctuality, preparedness, and a positive, solution-focused attitude. Facilitating intra-department communication, promoting a team environment, and interacting positively with employees, physicians, and the public are also crucial. Understanding and utilizing Human Resources policies, serving as a customer-service role model, attending department meetings, and contributing to problem resolution are expected. The assistant will help with system changes, refine communication systems, identify and resolve system problems cooperatively, and attend hospital activities. This includes mandatory in-services, fire drills, and emergency codes. The role involves using computers and software for job responsibilities, including standard office platforms and electronic medical records systems. The Clinic Assistant will assist the manager and department staff by preparing documents and minutes, promoting department goals and the hospital's mission, and communicating goals to staff. Maintaining department policies and procedures, including external agency guidelines, and communicating function backlogs are also part of the role. Educating new staff on regulations and training student interns are responsibilities as directed. Understanding Joint Commission and other regulatory agency compliance regulations, and involving oneself in the learning and application of standards relevant to the Intensive Outpatient Program and Partial Hospitalization Program is required. Participation in in-services, seminars, and meetings to increase awareness of regulations, and educating other disciplines regarding these regulations is also expected. The role involves participating in performance improvement teams, understanding the performance improvement process, and applying the performance improvement model to department activities. Conducting oneself professionally, demonstrating organizational skills, communicating positively and professionally, and resolving peer issues calmly and constructively are essential. Attending outside seminars for professional growth and demonstrating a positive and professional attitude toward all customers are also required. Compliance with hospital policies, including Human Resources, Infection Control, and Employee Health, and projecting a professional image through attire are mandatory.
