The Clinic Assistant performs receptionist and billing responsibilities related to clinic operations; coordinates patient information, maintains confidentiality of patient files, and coordinates billing functions with central offices. This role involves performing departmental clerical and receptionist functions, communicating messages, answering telephones, greeting visitors, typing, making appointments, filing, copying, and sorting mail. Additionally, the position handles departmental billing functions, including producing claims, preparing deposit worksheets and tickets, balancing accounts receivable, preparing fee bills and vendor bills, posting payment denials, and logging payments. The Clinic Assistant also maintains medical records, files diagnostic reports, manages unit supplies, enters charges, and orders food. Key responsibilities include facilitating communication with patients and healthcare providers, reporting relevant information, prioritizing tasks, responding to requests, assisting with codes and crisis situations, and helping patients during arrival and departure. The role also involves participating in hospital committees, meetings, and team projects, demonstrating punctuality, preparedness, and active participation in discussions. Promoting a team environment, interacting positively with others, understanding HR policies, and serving as a customer-service role model are also essential. The position requires attending department meetings, facilitating accurate information exchange, assisting with system changes, refining systems, identifying and resolving problems, attending hospital activities, and participating in mandatory in-services, fire drills, and emergency codes. The Clinic Assistant will use computers and software for job responsibilities, including standard office software and electronic medical records systems, and will assist with preparing documents and minutes. The role promotes department goals and the hospital's mission, communicates goals to staff, demonstrates goal achievement, and maintains department policies and procedures, including guidelines from external agencies like the Joint Commission. The Clinic Assistant will maintain and communicate function backlogs, educate new staff on regulations, and train student interns. Understanding and applying Joint Commission and other regulatory agency compliance regulations, as well as learning and applying standards relevant to Intensive Outpatient Programs and Partial Hospitalization Programs, is crucial. Participation in in-services, seminars, and meetings to increase awareness of regulations, and educating other disciplines regarding these regulations, is also part of the role. The position involves participating in hospital committees, performance improvement team meetings, and team projects, demonstrating punctuality, preparedness, effective communication, and organizational skills. Contributing positively and solution-focused, participating in the performance improvement program, understanding and applying the performance improvement model, and participating in performance improvement teams are key aspects. The Clinic Assistant will conduct themselves professionally, demonstrate organizational skills for timely response and task completion, communicate positively and professionally, attempt to resolve peer issues calmly and with a focus on solutions, communicate concerns with solutions, attend outside seminars for professional growth, and demonstrate a positive and professional attitude toward all customers. Compliance with hospital policies, including HR, Infection Control, and Employee Health, is mandatory, as is projecting a professional image through appropriate attire.
