The Clinic Assistant performs receptionist and billing responsibilities related to clinic operations. This role involves coordinating patient information, maintaining the confidentiality of patient files, and coordinating billing functions with central offices. The position requires performing departmental clerical and receptionist functions accurately and timely, communicating messages effectively, and answering telephones courteously. It also includes greeting and screening visitors, making appointments, filing documents, copying, sorting mail, and maintaining the filing system. Additionally, the Clinic Assistant is responsible for departmental billing functions, including producing claims, preparing deposit worksheets and tickets, balancing accounts receivable, preparing fee bills, posting payment denials, typing and logging payments, and assisting with monthly statements. Maintaining medical records, filing diagnostic reports, managing unit supplies, and anticipating supply needs are also key aspects of the role. The position requires facilitating communication with patients, families, visitors, and healthcare providers, reporting relevant information to management, prioritizing tasks, and responding to requests. The Clinic Assistant must also respond to codes and crisis situations, assist patients at arrival and departure, and participate in hospital committees and team projects, demonstrating punctuality and preparedness. They are expected to contribute positively, share results, promote a team environment, and interact professionally with others. Understanding and using Human Resources policies, serving as a customer-service role model, attending department meetings, and facilitating accurate information exchange are also important. The role involves contributing to system refinements, identifying and resolving problems cooperatively, and attending hospital activities and mandatory in-services. The Clinic Assistant will use computers and software for job responsibilities, including standard office platforms and electronic medical records systems, and assist with preparing documents and minutes. Promoting department goals and the hospital's mission, communicating goals, and demonstrating measurable achievement are expected. Maintaining department policies and procedures, including external agency guidelines, managing function backlogs, and educating new staff on regulations are also part of the responsibilities. The role requires demonstrating understanding of regulatory compliance, involving oneself in learning and applying standards for Intensive Outpatient Programs and Partial Hospitalization Programs, and participating in relevant in-services and meetings. The Clinic Assistant will also participate in performance improvement programs, understand the process, apply the model to department activities, and participate in performance improvement teams. Professional conduct, organizational skills, positive communication, and a solution-focused approach to resolving peer issues are essential. Attending outside seminars for professional growth and maintaining a positive and professional attitude towards all customers are also required. Compliance with hospital policies, including Human Resources and Infection Control, and projecting a professional image through attire are mandatory.
