About The Position

The University of Miami/UHealth Department of Neurological Surgery has an exciting opportunity for a hybrid, full time Clinic Assistant to work in Miami, FL. This role involves managing patient charts, transcribing doctor's orders, ordering supplies, assisting with supply distribution, obtaining and notifying doctors of lab and x-ray results, tracking patient arrival times, greeting patients, directing patients to dressing rooms, documenting equipment issues, copying patient paperwork, responding to visitor inquiries, reporting unusual incidents, and adhering to University policies. The position also includes department-specific functions such as answering the main telephone line, greeting visitors, providing cross-coverage, maintaining confidentiality, assisting with administrative tasks like uploading CDs and visitation logs, maintaining a tidy reception area, cross-training employees, assisting with patient advice messages, checking in patients, collecting payments, providing and uploading patient forms into EPIC, and uploading/routing faxes in EPIC. Fluency in English and Spanish is required, and the role will report to two different locations (Jackson North and Lois Pope Life Center).

Responsibilities

  • Assembles, completes, and processes patients’ charts, and keeps patient records accurately identified.
  • Transcribes doctors’ orders, and checks charts for incomplete histories and operative summaries, bringing issues to the attention of the appropriate member of the healthcare team for correction.
  • Orders unit supplies to maintain inventory of the unit’s equipment stock and supplies.
  • Assists with receiving, distributing, and sorting supplies brought to the unit.
  • Obtains laboratory and x-ray reports and notifies doctors of results.
  • Utilizes IDX RIS/PACS to track patient arrival times and advises front desk personnel of patient delays to maintain daily schedule.
  • Greets patients upon arrival and verifies patient information.
  • Directs patient to the dressing room and ensures the patient has changed into a gown and removed all metal items from their person.
  • Documents all equipment issues and reports to appropriate managing staff.
  • Assists in copying completed patient paperwork, delivering originals to front desk for scanning, and distributing copies to appropriate reading rooms.
  • Receives telephone calls and responds to inquiries from visitors.
  • Reports unusual incidents in a timely manner to appropriate supervisory personnel.
  • Adheres to University and unit-level policies and procedures and safeguards University assets.
  • Answers main telephone line for the department: triage incoming calls, responds to questions, directs calls, documents messages in a timely and efficient manner, while providing exceptional customer service.
  • Greets visitors and callers, handles their inquiries, and directs them to the appropriate staff according to their needs.
  • Provides cross coverage for co-workers when assigned or as the need arises.
  • Maintains confidentiality of all information.
  • Assists with general administrative tasks, such as Uploading of CDs (radiology imaging) and visitation logs.
  • Maintains a tidy and clean reception area.
  • Assists with cross training employees in the neurosurgery department.
  • Assists with the patient advice messages received via MyUHealthChart.
  • Will assist with checking-in and arriving patients in person at the Jackson North neurosurgery clinic, assisting with placing and/or picking up clinical and office supplies, replenishing clinical supplies in the clinic rooms, collecting payments, providing forms for patients to complete & uploading them into EPIC.
  • Uploading and routing faxes in EPIC.
