About The Position

The Client Services Technician's primary responsibility includes managing referrals (internal and external), scheduling referrals, and assisting with front desk duties such as answering phone calls, scheduling follow-up appointments, greeting and assisting patients, and assisting providers with patient care coordination. This role requires a pleasant and professional demeanor. Additional responsibilities involve confirming appointments via phone or text, providing appointment reminders, answering patient questions to direct them to appropriate resources, coordinating patient care by managing medical information between departments or facilities, providing administrative support to providers, and assisting employees, clients, and visitors by answering questions and providing intake forms. The position operates in a fast-paced clinical environment with frequent interruptions, requiring multitasking, a flexible schedule, and adaptability.

Requirements

  • High school diploma or GED
  • Six (6) months of experience in a fast-paced office environment with demonstrated ability to manage and prioritize multiple tasks.
  • Experience and proficiency in computer programs.
  • Excellent customer service and telephone communication skills.
  • Proficient in Microsoft Office Programs (Word, Excel Spreadsheets, PowerPoint, and Outlook).
  • Ability to learn additional computer software programs (e.g., electronic health records).
  • Proficient with typing, at least 40 words/minute with accurate spelling/grammar.
  • Effective and positive communication and working relationships with others.
  • Possession of high ethical standards and no history of complaints.
  • Reliable and dependable; reports to work as scheduled without excessive absences.
  • Ability to handle sensitive and confidential information.
  • Ability to work independently with minimal to no supervision.
  • Successful completion of and positive results from all background and reference checks.
  • Successful completion of fingerprint clearance requirements, physical examinations, and other screenings.

  • Basic Life Support (BLS) from the American Heart Association (AHA), must obtain within ninety (90) days of hire.

Responsibilities

  • Manages referrals (internal and external) and schedules them.
  • Assists with front desk duties including answering phone calls, scheduling appointments, and greeting patients.
  • Assists providers with patient care coordination.
  • Confirms appointments via phone and/or text and provides reminders.
  • Answers patient questions and directs them to appropriate resources.
  • Manages pertinent medical information between departments or other medical facilities for continuity of care.
  • Provides administrative support to providers.
  • Answers questions for employees, clients, and visitors and provides patient intake forms.
  • Coordinates scheduling and referral management, health records maintenance, and retrieves patient data from automated systems and the EHR.
  • Stays informed of various clinical and hospital services, including appointment and referral systems and points of contact.
  • Serves as the receptionist for the Physical Rehabilitation Department, greeting visitors, patients, families, staff, and physicians.
  • Provides interpretation skills as necessary.
  • Answers and directs telephone inquiries to appropriate personnel or areas.
  • Prepares and/or maintains statistical reports, memoranda, work schedules, monthly/quarterly reports, meeting minutes, policies and procedures, and other reports as assigned.
  • Manages clinic schedules and subspecialty clinic schedules, keeping rosters of patients needing special clinic appointments or procedures.
  • Prints clinic schedules and appointment lists and tracks patient arrival/departure times.
  • Obtains all medical documentation prior to patients’ arrival to the clinic.
  • Manages patient waiting room flow by communicating with therapists and patients.
  • Greets patients with each visit and schedules follow-up appointments in coordination with therapist’s and patient’s schedule.
  • Completes assigned special projects independently by analyzing, researching, troubleshooting, and resolving issues.
  • Uses information technology to manage internal and external referrals, ensuring no duplicates and timely completion.
  • Ensures proper Personal Protective Equipment (PPE) is worn at all times.
  • Completes all donning and doffing tasks safely and discards used PPE accordingly.
  • Completes task training for all routine cleaning and decontamination processes.
  • Completes all patient care documentation in the electronic health record entries accurately and in real-time.
  • Participates in departmental workflow and/or testing teams related to electronic health records or other project initiatives.
  • Responsible for electronic health records data entry pertinent to patient service role.
  • Performs other duties as assigned.
