About The Position

Tennis Central is a leading tennis academy in the DMV area, offering high-quality programming for juniors and adults across multiple locations. We are focused on delivering an exceptional client experience while building structured pathways for player development. We are looking for a highly organized, proactive, and customer-focused Client Services & Scheduling Coordinator to support our daily operations. This role is essential in ensuring smooth communication with clients, efficient lesson scheduling, and a seamless overall experience for our members. You will be the bridge between clients, coaches, and operations — helping manage bookings, answer inquiries, and keep everything running efficiently.

Requirements

  • Strong organizational and multitasking skills
  • Excellent communication skills (written and verbal)
  • Customer service experience (preferred)
  • Comfortable with scheduling tools and basic software systems
  • Ability to work in a fast-paced environment
  • Interest in sports/tennis is a plus

Responsibilities

  • Respond to client inquiries via email, phone, and messaging platforms in a timely and professional manner
  • Provide information on programs, pricing, scheduling, and policies
  • Assist clients in selecting appropriate programs based on level and goals
  • Handle client concerns and escalate when needed
  • Manage lesson and program scheduling using our booking system (PlayByPoint)
  • Coordinate private lessons, group classes, and court reservations
  • Optimize schedules to maximize court usage and coach availability
  • Handle cancellations, rescheduling, and waitlists
  • Assist with daily administrative tasks related to programming and court usage
  • Coordinate with coaches to ensure accurate schedules and attendance
  • Help manage seasonal registrations and program updates
  • Track and update client information and bookings
  • Ensure a smooth and positive experience for all clients
  • Proactively follow up with clients when needed
  • Maintain a high level of professionalism and responsiveness
