About The Position

BAYADA is seeking a compassionate, organized, and service-minded professional to join our Oahu Home Care office as a Client Services Associate. This role supports both the clients and families who depend on BAYADA and the compassionate field employees who provide care in the home. You will help create a reliable, responsive experience from the first service inquiry through ongoing care, while also supporting caregiver recruitment, onboarding, coordination, and engagement. Requirements

  • High school diploma or equivalent required
  • Excellent verbal and written communication skills, with the ability to communicate clearly with clients, families, caregivers, candidates, referral sources, and colleagues.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.
  • Demonstrated ability to listen actively, build trust, remain calm under pressure, and handle sensitive or confidential information appropriately.
  • Proficiency with computers, email, Microsoft Office, and the ability to learn new systems and databases.
  • Ability to work collaboratively while also taking initiative and following through independently.
  • Commitment to treating every person with dignity, respect, honesty, and professionalism.

Nice To Haves

  • college coursework or a degree in healthcare administration, business, human resources, or a related field preferred.
  • Experience in healthcare, home care, customer service, recruiting, human resources, scheduling, or office administration preferred.

Responsibilities

  • Serve as a welcoming and responsive point of contact for clients, families, field employees, referral sources, and community partners.
  • Answer incoming calls, greet visitors, gather information, and connect inquiries to the appropriate team member.
  • Support a small client caseload in partnership with the office and clinical team.
  • Help coordinate services by communicating client needs, employee availability, scheduling considerations, and follow-up expectations.
  • Assist with matching qualified field employees to client needs based on competency, availability, and service requirements.
  • Follow up with clients, families, and field employees after services begin and throughout the care relationship.
  • Document client and employee interactions, incidents, complaints, schedule changes, and follow-up activities accurately and promptly.
  • Help resolve service concerns with empathy, professionalism, and sound judgment, escalating issues when appropriate.
  • Support billing, payroll, payor, authorization, and other administrative processes related to the caseload.
  • Assist with office coverage, filing, correspondence, meetings, events, and other operational needs.
  • Support caregiver recruitment activities, including timely candidate follow-up, interview coordination, and communication throughout the hiring process.
  • Create a welcoming candidate experience from initial contact through conditional offer and onboarding.
  • Assist with caregiver orientation, onboarding, credentialing, compliance documentation, and coordination of next steps.
  • Communicate employee availability, schedule preferences, orientation timing, and onboarding updates to the service office team.
  • Maintain accurate employee records and help ensure required information is completed and up to date.
  • Respond to employee questions and help connect field employees with the right resources and leaders.
  • Participate in employee recognition, retention, engagement, and office appreciation activities.
  • Provide timely updates when schedules, assignments, or onboarding plans change.
  • Partner with Client Services Managers, Clinical Managers, Recruiting Managers, and other office colleagues to support reliable service delivery and a positive employee experience.

  • Participate in daily standups, team meetings, training, office events, and performance improvement activities.
  • Maintain current knowledge of BAYADA services, policies, procedures, technology, and applicable regulations.
  • Use technology, scheduling systems, customer service tools, and databases to communicate effectively and maintain accurate records.
  • Take ownership of priorities, meet deadlines, remain flexible, and contribute to an all-hands-on-deck office environment.
  • Perform other related duties as required or requested by the supervisor.
