About The Position

The Client Services Associate will be responsible for providing direct services to clients, managing client information and documentation, and supporting the overall administrative and operational needs of the CED Program. This role involves significant client interaction, data management, and collaboration with program staff to ensure efficient and effective service delivery.

Requirements

  • A minimum of 2-4 years administrative and/or office admin work experience; preferably in a non-profit.
  • Excellent interpersonal skills and demonstrated ability to effectively communicate with individuals from diverse backgrounds, local organizations and people in crisis;
  • Must have excellent verbal and writing communication skills that can be executed in formal correspondence and oral presentations;
  • Ability to maintain confidentiality and neutrality in handling proprietary and client information;
  • Strong reporting and record keeping skills, including the ability to synthesize lots of quantifiable and qualitative data into clear, plain language and readable charts and checklists;
  • Dependability, good time management and strong organizational skills and attentive to detail;
  • Must be able to work strategically within a team structure as well as independently, multi-task and work under tight deadlines;
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), client management systems.
  • Demonstrated ability to interact with persons of different races, ethnicities, ages, and sexual orientations in a multicultural environment;

Nice To Haves

  • Bi-lingual in English/Spanish preferred;
  • Familiarity with Microsoft Dynamics, Notion, SharePoint, and Legal Server are a plus;

Responsibilities

  • Provide direct services to clients including intake, assessment, referral, case closing forms, and follow-up;
  • Coordinate and manage client flow, documenting all interactions with or on behalf of clients and attorneys;
  • Attend outreach events on behalf of the program, providing information about services offered and application procedures;
  • Enter client information into the case management system and relevant databases;
  • Import and transfer data from multiple sources to secure central databases;
  • Update database and document management systems with new information and documents as they come in;
  • Record and document services into Microsoft Dynamics, Excel, Notion, SharePoint, and Legal Server systems under contractual agreements and program needs;
  • Provide input with supervisor and team leaders in the development and implementation of data management processes;
  • Collaborate with program staff to ensure case file documents are appropriately processed in the case management system and cases are opened and closed accordingly.
  • Participate in regular staff meetings and supervision, attending training for further skills development as required;
  • Provide input with supervisor and team leaders to identify and recommend process improvements for program documentation and organization;
  • Create and send correspondence, receive and route incoming calls, taking messages when appropriate;
  • Additional clerical/administrative duties including filing, sorting, and organizing paperwork; and
  • Other duties as assigned.
