About The Position

Best Friends Animal Hospital, part of the Suveto network of hospitals, is seeking a full-time Client Services Representative. This role is responsible for delivering excellent customer service both in-person and over the phone to assist clients and their pets. The Client Services Representative provides high-quality customer service that meets or exceeds client expectations, supports the doctors and support staff, and looks for ways to continually improve service delivery, ensuring clients are treated with respect and compassion.

Requirements

  • Demonstrates the ability to thrive in a fast-paced veterinary practice while consistently delivering exceptional, compassionate client care.
  • Possesses a high school diploma or equivalent.
  • Brings prior practice management system experience—Ezyvet experience is a strong advantage—and maintains a solid working knowledge of computers and office technology.
  • Upholds professionalism at all times and is committed to providing top-tier customer service.
  • Confidently manages a multi-line phone system and high call volume with accuracy and empathy.
  • Shows a genuine love for pets and an intrinsic motivation to continue learning in an ever-evolving medical field.
  • Demonstrates strong emotional intelligence, offering empathy and compassion to clients during both joyful moments and times of difficulty.

Nice To Haves

  • Two or more years of client service experience preferred

Responsibilities

  • Proactively coordinate and manage appointment scheduling for multiple doctors to ensure efficient patient flow and an exceptional client experience.
  • Facilitate patient referrals and accurately prepare and transmit medical records to appropriate hospitals and partners.
  • Professionally manage a high-volume, multi-line phone system, directing inquiries with clarity, empathy, and urgency.
  • Room patients promptly and compassionately, supporting both medical teams and clients throughout the visit.
  • Deliver clear, thoughtful client education that reinforces trust and understanding of care plans.
  • Maintain required continuing education standards in alignment with AAHA-accredited hospital expectations.
  • Consistently uphold a clean, organized, and professional hospital environment.
  • Actively live and model the company’s Core Values by fostering teamwork, collaboration, and mutual accountability across the practice.
  • Perform additional duties as needed to support hospital operations and patient care excellence.
