About The Position

The Client Service Coordinator will be responsible for managing client orders, communication, and related tasks to ensure smooth operations and client satisfaction. This role involves receiving and processing purchase orders, coordinating with internal teams, managing client information, and addressing client inquiries. The position also requires managing inventory targets and assisting with client meetings and projects.

Requirements

  • 2+ years of experience in a customer service environment.
  • Ability to juggle multiple tasks and stay calm under pressure.
  • Solid written and verbal communication skills.
  • Strong interpersonal skills including a high degree of professionalism and confidentiality.
  • Willingness to be a team player AND work independently.
  • Ability to demonstrate initiative, prioritization, and maintain a strong eye for detail.
  • Work efficiently with a strong sense of urgency.
  • Demonstrate effectiveness with large scale, cross-functional projects.

Responsibilities

  • Receive and enter client purchase orders.
  • Prepare and share weekly open order reports with customers.
  • Send confirmations to clients with production ETAs, coordinating with Purchasing & Scheduling.
  • Enter and update new client information in Activate.
  • Confirm credit terms with the Accounting Team for new or existing clients.
  • Confirm pricing for each PO before confirming to the client, working with the site lead for any necessary pricing updates.
  • Request documentation from Regulatory if requested after launch.
  • Inform clients when their order is ready for pickup.
  • Host client meetings (if not launch related).
  • Assist the Project Manager as needed.
  • Perform any other client service tasks assigned by the supervisor.
  • Spearhead QBRs if requested by the customer.
  • Manage inventory targets and coordinate the resolution, disposition, and mitigation of excess or aging inventory.
