Job Description: Job Duck is looking for a confident and service-driven Client Intake Coordinator to serve as the first connection between prospective clients and the firm. In this role, you will handle inbound calls, guide conversations with clarity and care, and ensure potential clients are scheduled efficiently and accurately. Your work will play a key role in converting inquiries into qualified consultations while maintaining detailed and organized records. This position is well-suited for someone who enjoys structured workflows, communicates naturally over the phone, and remains adaptable in a fast-moving environment. Candidates who value teamwork, continuous learning, and respectful collaboration will feel at home in this role.

Requirements

  • Minimum 1 year of experience working as an Intake Specialist or in a customer service role
  • Experience in sales required
  • Availability to work one or two days over the weekend required
  • Excellent verbal skills in both English and Spanish
  • Sales-oriented communication skills
  • Strong phone presence and active listening
  • High level of integrity and honesty

Responsibilities

  • Perform administrative tasks including opening files
  • Answer incoming phone calls from prospective clients
  • Support daily intake operations to meet booking KPIs
  • Complete data entry with accuracy and timeliness
  • Update and maintain CRM records consistently
  • Schedule appointments and manage calendars
  • Book and confirm consultations accurately
