As our Client Experience Coordinator, you will serve as the welcoming face and voice of our company, creating a positive experience for clients and visitors. In addition, you will support our social media efforts and organize client events to further enhance our client relationships. This role is ideal for a self-starter with a strong background in client service, administrative support, and event planning who thrives in a fast-paced, client-focused environment.

Requirements

  • High School Diploma
  • 2+ years’ of relevant experience
  • Demonstrates strong proficiency and confidence working across various platforms and operating systems; CRM (Redtail) and Microsoft Office Suite
  • Excellent communication; written and verbal
  • Skilled in building strong, trust-based relationships with clients by providing attentive, personalized service and guidance
  • Collaborative team player willing to assist others
  • Demonstrates exceptional organizational skills by efficiently managing multiple client requests and prioritizing time sensitive tasks
  • Exhibits meticulous attention to detail and a commitment to accuracy
  • Self-starter who takes initiative and works well independently
  • Demonstrates strong integrity and a commitment to ethical conduct, especially when handling confidential client information and financial matters

Responsibilities

  • Serve as a friendly, professional first point of contact for clients—both in-person and over the phone
  • Schedule appointments and manage advisor calendars
  • Manage client database and maintain accurate records
  • Follow up with clients and prospects to support relationship development
  • Create and publish engaging content across various social media platforms to maintain an active online presence
  • Assist with marketing efforts and general office operations
  • Perform additional administrative duties as assigned
  • Plan, coordinate, and execute client events and seminars
  • Research and manage relationships with venues, caterers, and vendors
  • Develop event budgets and timelines, ensuring smooth execution from start to finish
  • Promote events through email, social media, and other platforms
  • Manage guest communications, registrations, and RSVPs
  • Handle event setup, breakdown, and on-site logistics
  • Collect post-event feedback to improve future planning
