About The Position

Client Coordinators serve as the front office liaison, facilitating front office operations and ensuring clients feel welcomed. They are responsible for greeting clients, maintaining a friendly demeanor, and escorting clients and patients to clean exam rooms. This role involves accurately weighing pets, assisting clients to their cars if needed, and offering water. Client Coordinators must keep the reception area clean and organized, and clean and restock exam rooms between clients. They are also responsible for ensuring coffee is always available. The position requires close communication with assistants/technicians, announcing when exam rooms are ready, and having knowledge of appointment timing and the overall hospital flow. Client Coordinators work closely with CSRs, providing regular communication and assistance. They are expected to build positive professional relationships with clients and staff members, and while a high school diploma is required, on-the-job training will be provided.

Requirements

  • High School Diploma or GED required
  • Ability to provide effective customer service principles
  • Basic knowledge of medical terminology
  • Basic proficiency with a variety of computer programs including Microsoft Office Suite
  • Basic written, verbal, and active listening communication skills
  • Strong customer relations and interpersonal skills
  • Exercises tact and diplomacy in dealing with sensitive issues and situations
  • Prioritize work and handle a variety of tasks simultaneously, with frequent interruptions
  • Strong organizational and time management skills
  • Effectively and quickly responds to requests in a proactive manner
  • Strong attention to detail and high level of accuracy

Nice To Haves

  • 1+ years experience in retail sales or customer service
  • Experience in a medical facility

Responsibilities

  • Help facilitate the front office.
  • Greet clients and make them feel welcomed.
  • Maintain an even, friendly demeanor, while on the job.
  • Escort clients and patients to clean, empty exam rooms, free of persistent, offensive odors.
  • Accurately weigh the pet on the correct scale for the pet.
  • Assist clients to their cars if necessary.
  • Offer water to clients or patients in need.
  • Keep the reception area clean and organized by dusting, picking up trash and organizing the work area.
  • Clean exam rooms between clients and straighten them as needed by sweeping, cleaning the exam table & instruments & restocking rooms.
  • Always keep coffee stocked and available for clients.
  • Be in close communication with the assistants/technicians.
  • Announce that the assistants/doctors next exam room has been loaded.
  • Have knowledge of timing with all appointments going on in a given time.
  • Have a general knowledge of the flow throughout the entire hospital during the workday.
  • Work closely with the CSR’s communicating and assisting them regularly as needed.
  • Build positive professional relationships with clients and staff members.
  • Pursue on-the-job training.
