About The Position

The Client Coordinator serves as the first point of contact for clients, visitors, and community partners, providing professional, respectful, and trauma-informed customer service. This position supports the daily operations of Wings of Hope Family Crisis Services by managing front office responsibilities, assisting with basic client needs, and providing administrative and advocacy support as needed.

Requirements

  • Experience in reception or front desk duties preferred
  • Strong organizational skills, attention to detail and punctual
  • Professional demeanor with a strong work ethic
  • Reliable transportation and ability to pass a background check
  • Basic knowledge of Microsoft Word, Excel and Google platforms.
  • Ability to learn quickly and retain new material.
  • Basic understanding of crisis response and ability to remain calm in high-stress situations.
  • Understanding of confidentiality and ethical responsibilities in a victim services setting.
  • Ability to communicate effectively with clients, staff, and community members.
  • Ability to work both independently and as part of a team.
  • Working knowledge (or ability to learn) of agency programs and services.
  • Ability to maintain a professional, respectful, and welcoming demeanor.
  • Ability to manage multiple tasks and prioritize responsibilities in a fast-paced environment.

Responsibilities

  • Serve as the primary point of contact for incoming calls, walk-in clients, and visitors
  • Provide administrative and front office support to ensure efficient daily operations
  • Assist with basic advocacy support and client needs as appropriate
  • Maintain a welcoming, organized, and professional office environment
  • Answer incoming phone calls, direct calls appropriately, and deliver messages to staff
  • Greet and assist walk-in clients and visitors in a professional and respectful manner
  • Provide basic advocacy support to clients via phone or in person, including information, referrals, and initial assistance
  • Assist clients with basic paperwork, including Emergency Protective Orders, as appropriate
  • Perform general office duties including typing, copying, and data entry
  • Prepare outgoing mail and distribute incoming mail to appropriate staff daily
  • Assist with receiving and organizing donations
  • Maintain organization and cleanliness of the front office, lobby, and workroom areas
  • Restock brochures, forms, and other materials as needed (to include but not limited to ordering office supplies)
  • Follow procedures for opening and closing the office
  • Take meeting minutes as assigned
  • Assist in training relief receptionist or support staff as needed
  • Attend scheduled staff meetings and required in-service trainings
  • Support advocacy staff and assist with client needs as directed (to include but not limited to client transportation, child care, gas vouchers)
  • Contribute to a collaborative team environment within the agency
  • Adhere to agency policies and procedures in all job-related functions
  • Promote a positive and professional image of Wings of Hope Family Crisis Services
  • Perform additional duties as assigned by the Director of Community Advocacy or the Chief Executive Officer.
