About The Position

The Client Care Specialist I (CCS I) will work as part of the clinic team to ensure that patients receive the best possible customer service. This role is responsible for answering incoming phone calls, checking in/out patients, handling money transactions based on patient balance, and assisting patients. The schedule for this position is Monday - Friday, 12:00 pm to 8:30 pm.

Requirements

  • High School diploma or equivalent required.
  • Superior written and verbal communication skills.
  • Ability to speak, read, and write English fluently required.
  • Proficiency in the use of a Windows Computer and Microsoft Office products.
  • Adherence to HIPAA and HIITECH guidelines at all times.

Nice To Haves

  • Minimum 1 year of relevant experience preferred.
  • Experience in an outpatient medical office preferred.
  • Graduation from an Accredited College, University, or trade school with a degree, license, or certificate in a relevant field preferred.

Responsibilities

  • Perform opening procedures including unlocking the front door, turning on TVs, playing music, vacuuming common areas/rooms, and checking restrooms.
  • Check patients in and out, handle money transactions, set up payment plans, and manage cash drops.
  • Process new patients by obtaining signed consent, verifying measures, scanning insurance and driver's licenses, and taking patient photos.
  • Answer phones and check voicemails.
  • Call patients who are late or no-shows after 5 minutes of their scheduled appointment time.
  • Verify patient demographics including address, phone number, insurance information, appointment reminders, guardians, guarantor, and email address.
  • Take messages and email patient questions to CCS II for the designated provider, documenting in the patient's chart.
  • Set up/remove notifications as needed.
  • Schedule new patient and follow-up appointments.
  • Assist CCS IIs with faxing ROI's and disability/FMLA paperwork.
  • Upload medical records to patient charts.
  • Check bathrooms twice daily to ensure cleanliness and adequate supplies.
  • Dust/wipe down countertop surfaces, patient waiting areas, common areas, and clean glass windows on office doors.
  • Perform closing procedures including ensuring cleanliness throughout the office and receptionist spaces, taking out trash, and ensuring all doors are locked.
  • Present appropriate, courteous customer service to all patients in person or on the telephone.
  • Perform other duties as assigned.
