The Client Care Representative is the first point of contact for our clients, responsible for answering incoming calls and scheduling service appointments with professionalism and efficiency. This role may also support technician dispatch for scheduled service and maintenance calls. The Client Care Representative reports directly to the General Manager.

Requirements

  • High school diploma or equivalent
  • Excellent verbal communication and active listening skills
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office software
  • Experience with Customer Service Management (CSM) or scheduling software
  • Ability to multitask in a fast-paced, phone-based environment

Nice To Haves

  • Prior customer service experience preferred

Responsibilities

  • Answer incoming client calls promptly, professionally, and with a warm, positive tone
  • Follow company call scripts and standards to ensure a consistent client experience
  • Schedule service appointments accurately and efficiently, maintaining a high booking/closure rate
  • Assist with dispatching technicians to scheduled service and maintenance appointments as needed
  • Communicate clearly and professionally with clients and team members at all times
  • Accurately document client information, appointment details, and service requests in the CRM/scheduling system
  • Follow up with clients as needed to confirm appointments or resolve scheduling issues
