About The Position

The Client Account Administrator - Institutional performs a variety of administrative and client service tasks to facilitate a positive and productive relationship between institutional clients and their financial service team. The Client Account Administrator - Institutional is an expert communicator and collaborator. This role can be based in the following locations: Lynnfield, MA, Boston, MA, Needham, MA, or Portland, ME.

Requirements

  • Completion of a bachelor's degree in business, finance, or another related field; or equivalent years of work experience
  • 2-3 years of related job experience required
  • Proficiency with Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams, etc.) and other software used to conduct business operations (Salesforce, Docusign, etc.)

Responsibilities

  • Understands the client's financial objectives and how FLP fits into their overall investment strategy
  • Directs strong client relationships by proactively anticipating needs, escalating urgent issues appropriately, and coordinating with internal partners to complete work accurately and on time.
  • Becoming comfortable and proficient in using our different applications (Outlook, Salesforce, Orion, and custodial platforms Schwab and Fidelity) to obtain account information and complete/coordinate all aspects of client service and account maintenance requests
  • Opens and closes client accounts; including, but not limited to, C-Corp, LLC, Partnerships, Business Trusts, ensures related paperwork is completed correctly and timely
  • Coordinates with auditors to provide required ad-hoc reporting
  • Generates review material in accordance with client review schedule; ensures physical copies are distributed timely
  • Manages and executes client cash flows, asset transfers, and account maintenance
  • Completes complex forms, leverages DocuSign to collect signatures, and utilizes custodian-specific tools to upload appropriate forms to custodian
  • Accurately moves funds between accounts, maintains clear documentation
  • Responds promptly to clients' needs, requests, and miscellaneous inquiries; completes client requests
  • Participates in upkeep & implementation of Salesforce
  • Prepares for client meetings, completes ad hoc client reporting
  • Travels to client events and conferences, up to 10% of the year
  • Integrates and onboards new processes where the department is a stakeholder
