About The Position

The Clerk/Administrative Assistant assists with the administration of the day-to-day operations of the facility assigned to. Carries out responsibilities in some or all of the following functional areas: departmental inquiries, invoices, payments requests, business documentation, general clerical duties, attend phone calls, conference calls. An Administrative Assistant, or Administrative Aide, is responsible for supporting an administrative professional to help them stay organized and complete tasks that allow them to focus on more advanced responsibilities. Their duties include organizing meetings for Administrators, greeting office visitors, and composing documents on behalf of Administrators. This role requires managing a high level of confidential information.

Requirements

  • Ability to walk or stand.
  • Ability to work at a desk and perform sedentary tasks.
  • Constant use of computers for prolonged periods.
  • Ability to bend, bend, reach for objects at height, and lift up to 15 pounds of weight.
  • Excellent verbal communication skills, as well as writing primarily in Spanish.
  • Spanish: High level of verbal comprehension, both written and spoken.
  • English: Basic level of verbal, written, and spoken comprehension.
  • Must also possess and use effective listening skills in Spanish and English.
  • Ability to implement common sense understanding to carry out instructions provided in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Bachelor of Business Administration.
  • At least two years of experience in an administrative assistant role, preferably in human resources.
  • High sense of customer service approach.
  • Excellent computer literacy.
  • Proven track record of focus and detail accuracy.
  • Ability to work under time pressure.
  • Excellent administrative skills.
  • Ability to work successfully with external suppliers and partners.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Tools (Word, Power Point, Excel, Outlook, etc.).

Responsibilities

  • Manages business documentation and performs general clerical duties.
  • Attends phone calls and conference calls.
  • Organizes meetings for Administrators.
  • Greets office visitors.
  • Composes documents on behalf of Administrators.
  • Manages a high level of confidential information.
  • Answers phones and greets visitors.
  • Schedules appointments and maintains calendars.
  • Schedules and coordinates staff and other meetings.
  • Collates and distributes mail.
  • Prepares communications, such as memos, emails, invoices, reports, and other correspondence.
  • Writes and edits documents from letters to reports and instructional documents.
  • Creates and maintains filing systems, both electronic and physical.
  • Manages accounts and performs bookkeeping.
  • Supports recruiting diligence.
  • Supports the timekeeping process.
  • Acts as a liaison for communication with clients and project managers.
  • Complies with all safety, security, compliance, and quality standards and procedures established by the Company, Clients, and regulatory authorities.
