About The Position

This is a highly responsible and professional position serving as the Clerk Typist Specialist – F/C within Forensic Central (Unit 21). Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders. Florida State Hospital (FSH) is a mental health treatment facility owned and operated by the State of Florida and is part of the Department of Children and Families. The department’s mission is to “work in partnership with local communities to protect the vulnerable, promote strong and economically self-sufficient families, and advance personal and family recovery and resiliency.” FLORIDA STATE HOSPITAL IS A TOBACCO FREE FACILITY.

Requirements

  • One year of secretarial or clerical work experience; or
  • Possession of a Certified Professional Secretary Certificate.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.
  • A high school diploma or its equivalent can substitute for the required work experience.
  • Include the supervisor names and phone numbers for all periods of employment.
  • Account for and explain gaps in employment so that the hiring process is not delayed.
  • Experience, education, training, knowledge, skills and/or abilities, as well as responses to pre-qualifying questions must be verifiable to meet the minimum qualifications.

Responsibilities

  • This position requires lifting, pulling, and squatting. Duties of this position require the incumbent to be knowledgeable of and utilize the principles of Total Quality Management. The employee in this position spends a minimum of 75% of his/her time performing duties as outlined in the official position description, which involves contact with residents in a forensic facility or institution.
  • This position involves a variety of clerical skills, which includes computer use (Microsoft Word/Excel), typing, prioritizing, monitoring and scheduling duties. It involves the ability to exercise problem solving techniques and work toward a cohesive smooth working environment while dealing with multiple projects each day. It also involves the exercise of independent judgment, initiative and the development of specialized work methods, procedures and their application for solution of technical problems.
  • Establishes and maintains employee time records for the entire unit. This would include accurate employees’ records for accrued annual and sick leave for payroll purposes.
  • Prepare job related injury reports and submit forms to Personal Office to be processed for worker's compensation purposes. Also responsible for preparing Personal Recruitment Requests for Payroll Actions forms for submission for processing in a timely manner.
  • Answers telephones, routes calls and relays messages.
  • Input employee call-ins into database, prepare travel for employees.
  • Ensure probationary annual evaluations are completed and turned into Human Resources in a timely manner.
  • Attends/participates in 100% of mandatory training as required by supervisor in accordance with FSHOP 225-1.
  • Performs other related duties as assigned.
