Within DCF, the Substance Abuse and Mental Health (SAMH) Program office is recognized as the single state authority for substance abuse and mental health services. The Office of SAMH is statutorily responsible for the planning, evaluation, and implementation of a comprehensive statewide system of care for the prevention, treatment, and recovery of children and adults with serious mental illnesses or substance use disorders. Florida State Hospital (FSH) is a mental health treatment facility owned and operated by the State of Florida and is part of the Department of Children and Families. The department’s mission is to “work in partnership with local communities to protect the vulnerable, promote strong and economically self-sufficient families, and advance personal and family recovery and resiliency.” FLORIDA STATE HOSPITAL IS A TOBACCO FREE FACILITY.

Requirements

  • Knowledge of correct spelling, punctuation and grammar usage.

  • Ability to operate general office equipment.
  • One year of secretarial or clerical work experience; or
  • Possession of a Certified Professional Secretary Certificate.
  • Vocational/technical training in an area of secretarial science or office/business studies can substitute at the rate of 720 classroom hours for the required work experience.
  • A high school diploma or its equivalent can substitute for the required work experience.
  • Include the supervisor names and phone numbers for all periods of employment.
  • Account for and explain gaps in employment so that the hiring process is not delayed.
  • Experience, education, training, knowledge, skills and/or abilities, as well as responses to pre-qualifying questions must be verifiable to meet the minimum qualifications.
  • It is unacceptable to use the statement “See Resume” in place of responding to qualifying questions and entering work history.

Responsibilities

  • Performs revision and automatic typing of correspondence, memoranda, reports, records and other office documents from rough and finalized copy utilizing a personal computer.
  • Maintains alphabetical and chronological files and records of office correspondence, documents, reports and other materials.
  • Maintains personnel files.
  • Operates and or utilizes a variety of standard business and office machines and equipment including: typewriters, personal computers, calculators, copiers, fax machines, etc.
  • Receives and reads incoming mail, screens items which can be handled personally, forwards the rest to supervisor or subordinates together with necessary background material.
  • Assists with personnel related duties to include applicant reference checks and scheduling interviews utilizing personal computer.
  • Acts as office receptionist.
  • Responsible for maintaining leave and attendance records for the Food Service Department with 126 positions.
  • Reviews, audits, and assists employees with time entry utilizing a personal computer.
  • Tracks and types all incident reports utilizing a personal computer and submits to Risk Management timely.
  • Conducts worksite orientation for new employees and enters information in computer for tracking purposes.
  • Attends in-service training and meetings as scheduled.
  • While on duty, follows and carries out Florida State Hospital and department safety practices and policies.
  • Performs other related duties as assigned.
