About The Position

This position is for the 2026-2027 school year. The Clerk: Individualized Educational Plan (IEP) provides clerical assistance to the administrative and teaching staff on matters related to special education. Work will include maintaining files, taking prior written notice, mailing documents, tracking timelines, and the use of office machines including a computer. This position serves as the collection and organization point, and disseminator of all paperwork related to the Individualized Educational Plan (IEP) process.

Requirements

  • High School Diploma or Equivalency Certificate required.
  • Ability to exercise initiative and good judgement in the timely execution of delegated administrative responsibilities.
  • Ability to successfully manage multiple tasks simultaneously.
  • Excellent organizational, analytical, and planning skills.
  • Excellent inter-personal and problem-solving skills.
  • Demonstrated oral and written communication skills.
  • Ability to interpret and follow written instructions and specifications, communicate and work effectively and harmoniously with supervisors, administrators, and other employees.
  • Demonstrated ability to effectively work and communicate with diverse populations.
  • Demonstrated proficiency with business technology applications (e.g. Video/Web Conferencing, Microsoft Office Suite -Word, Excel, Outlook, and/or PowerPoint preferred).

Nice To Haves

  • One (1) year recent office, clerical, and/or administrative experience preferred; Or an equivalent combination of education and experience which provides the required knowledge, skills, and abilities deemed sufficient to prepare the employee to successfully perform the duties of the position.
  • For new permanent secretarial/clerical/technician hires, a minimum score on a preemployment assessment is required.

Responsibilities

  • Assists special education staff with IEP process documentation including parent notification and follow-up to meetings.
  • Tracks timeline for referrals, evaluations, and annual reviews.
  • Completes Medicaid billing forms and SSIS forms.
  • Utilizes the special education software to prepare related documentation.
  • Makes copies of IEP’s for review and use by special education, regular education teachers and parents.
  • Maintains special education files and materials of instruction in an orderly manner.
  • Maintains and organizes student progress reports, data sheets and/or other appropriate documentation of achievement.
  • Performs other related duties as assigned within the same classification or lower.
