Details related to the position are below:     Shift: 1st Shift, 5-day work week Hours: M-TH 7.30am – 5.00pm, F 8.00am-12.00pm Grade: 30 Compensation: Pay Range: $17.07-$28.46 an hour. DOQ. Requirements

  • High School Diploma or GED required.
  • Proficiency in Microsoft Office Suite, specifically Word, Excel and Outlook.
  • 1+ years of Receptionist/ customer service / clerical experience is preferred.

Nice To Haves

  • Proven experience as an administrative assistant or similar role.
  • Prior experience in customer service role.
  • Experience in municipal government, specifically a Council-City Manager form of government, is preferred.

Responsibilities

  • Primary point of contact for multi-line phone system; answers and directs incoming calls to appropriate departments and/or individuals; documents and distributes telephones messages.
  • Greets and assists office visitors; directs visitors to other City departments as required.
  • Prepares, processes, reviews, and disseminates correspondence, memoranda, contracts, schedules, forms, purchase forms, purchase orders, invoices, and/or other types of documentation.
  • Updates and maintains records, filing systems, databases, and/or policy manuals.
  • Assist HR and Finance with Human Resource activities.
  • Respond to inquiries from residents, businesses, and contractors about services, rates, and department activities.
  • Handle complaints, requests, and escalate issues to the appropriate supervisor or division as needed.
  • Assist in compiling data and reports for budgetary, maintenance, or regulatory compliance.
  • Maintain, update, and retrieve a variety of records and files related to assigned office operations and activities.
  • Input, verify, and manage departmental data in software systems, including work-order management systems.
  • Generate utility usage and financial reports for internal and external stakeholders.
  • Monitor and track department expenses, invoices, and budgets.
  • Assist in organizing documentation for audits or inspections by local, state, or federal authorities.
  • Track regulatory deadlines and submit required reports to oversight agencies in collaboration with management.
  • Participates in both internal and external committees as assigned.
  • Develop recommendations for improvements in efficiency and effectiveness.
  • Attend training as required.
