About The Position

Trinity Services is seeking a detail-oriented, organized, and customer-focused Clerical Assistant to support the day-to-day operations of Community Day Services (CDS), Network 6. This position plays a vital role in supporting program leadership, staff, participants, families, and visitors through a variety of clerical, payroll, billing, and administrative functions. The ideal candidate is dependable, professional, able to manage multiple priorities, and committed to providing excellent service while maintaining confidentiality and accuracy.

Requirements

  • High school diploma or GED required.
  • Proficiency in Microsoft Outlook, Word, and Excel.
  • Strong organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Outstanding customer service and interpersonal skills.
  • Ability to prioritize responsibilities, meet deadlines, and manage multiple tasks simultaneously.
  • Ability to work independently and as part of a team.
  • Valid driver's license required.
  • CPR and First Aid certification required or willingness to obtain (training provided).

Nice To Haves

  • Experience in an office or clerical role preferred.
  • Bilingual skills are a plus but not required.

Responsibilities

  • Greet and assist visitors, families, employees, and program participants.
  • Answer incoming telephone calls using professional telephone etiquette and relay detailed messages accurately.
  • Direct calls and inquiries to appropriate staff.
  • Receive and manage deliveries and incoming mail.
  • Organize, maintain, and file confidential records and documentation.
  • Maintain employee, participant, and program files, including electronic document management systems.
  • Create, update, and maintain departmental tracking systems, phone, birthday lists, and other administrative records.
  • Assist with onboarding documentation and administrative support for new employees.
  • Prepare photocopies, correspondence, reports, and other office materials.
  • Complete special projects and miscellaneous office assignments as requested.
  • Assist with payroll review and timekeeping processes.
  • Assist with billing, coding, and data entry functions.
  • Utilize Excel and other software platforms to track and maintain departmental data.
  • Generate reports and identify trends or discrepancies when requested.
  • Maintain a professional and welcoming office environment.
  • Monitor office supply inventory and submit orders as needed.
  • Assist with the day-to-day operations of transportation drivers and all businesses within the department (STRIDES, Horticulture, etc.)
  • Perform light housekeeping duties, including emptying trash, replenishing supplies, and maintaining common areas.
