About The Position

This position will provide varied office support, clerical in nature such as fielding and directing incoming calls to the agency’s staff, managing inbound and outbound correspondence, as well as data entry tasks.

Requirements

  • Knowledge of modern office methods and procedures
  • Ability to provide professional customer service via phone and in person
  • Ability to understand and follow basic oral and written instructions.
  • Ability to perform repetitive keyboarding for prolonged periods of time may be required.
  • Ability to use applicable computer programs including VOIP.
  • Ability to review documents and examine for completeness.
  • Ability to type routine business documents from final draft.
  • Ability to maintain computerized and/or manual information.
  • Ability to use alphabetical, numerical, and chronological filing systems.
  • Ability to effectively give/obtain basic, non-technical information.
  • Ability to post and transfer numbers from set data.
  • Ability to prepare worksheets and perform data entry.
  • Ability to process standard mail transactions.
  • Ability to gather and compile information.
  • Ability to monitor and maintain inventory/supplies.
  • Ability to communicate effectively.
  • Ability to write clearly and effectively.
  • Ability to operate modern standard office equipment

Responsibilities

  • Ensure that incoming calls to the agency are routed appropriately.
  • Document all phone calls within the Disability Case Processing System.
  • Manage correspondence by opening, sorting and distributing incoming mail.
  • Sorting and preparing outgoing mail by using the inserter and postage machines.
  • Maintain clean lobby and manage visitor log per SSA security policies.
  • Assist other support staff with data entry, filing, scanning, and sorting various documents both paper and electronic.
  • Ability to make outgoing phone calls to claimants with basic case status, initiate survey calls per SSA policy, and provide examination reminders.
  • Inventory management for general office supplies and mail room supplies such as envelopes.
  • Provide general clerical support to office administration.
  • All tasks will be done onsite in Winthrop.
