Reporting to the Claims & Insurance Advisor, the Claims & Insurance Coordinator is responsible for supporting the intake, documentation, communication, and administration of insurance and claims files. This role requires strong organizational skills, great attention to detail, excellent communication, and the ability to handle sensitive information with professionalism. Responsibilities will evolve as training progresses. This is a permanent part time, hourly, position that will be based out of the Calgary Office and will work a part-time schedule of 20 hours per week, worked over four 5-hour days, Monday, Tuesday, Thursday and Friday.

Requirements

  • Detail-oriented and highly organized administrative or insurance professional with strong customer service skills
  • Proactive, adaptable and capable of managing multiple priorities while maintaining accuracy and professionalism
  • Ability to work well both independently and as part of a team, demonstrate sound judgment and are committed to supporting efficient claims and insurance administration processes

Responsibilities

  • Support the intake, documentation, and tracking of insurance claims from initiation through to resolution
  • Assist with the follow up on outstanding documentation, deadlines, and action items to ensure timely claim progression
  • Escalate issue and concerns to the Claims & Insurance Advisor to facilitate timely resolution
  • Communicate professionally with the public, third party claimants, internal stakeholders, via phone, email and written correspondence
  • Understand and respond effectively to the needs of both internal and external customers
  • Maintain a professional and positive image when interacting with the public and external stakeholders
  • Prepare, format, update and distribute claim-related documents, correspondence and reports
  • Maintain accurate and organized digital claim files within company systems, including Dynamics 365(D365) and Intelex
  • Perform data entry and assist in compiling information for reporting and analysis purpose
  • Support policy tracking, insurance documentation management, and other administrative functions
  • Adapt to evolving responsibilities and participate in training and development opportunities as required
  • Perform additional administrative, coordination, and support duties as assigned
