About The Position

Under general supervision of the Associate Vice President for Civil Rights & Compliance, the Administrative Analyst/Specialist Non-Exempt provides comprehensive administrative, fiscal, and operational support to the Office of Civil Rights & Compliance to ensure efficient and effective day-to-day operations. The position serves as a central administrative resource for the office by coordinating leadership scheduling and travel, maintaining records and case management data, supporting budget and procurement activities, and assisting with outreach and training logistics. Working within established CSU, campus, and departmental policies and procedures, the incumbent supports departmental compliance-related activities through accurate documentation, record maintenance, and administrative coordination, and assists with internal reviews and routine reporting as assigned. The role functions primarily as an individual contributor, applying working knowledge of administrative and fiscal processes to support office operations, facilitate communication with internal and external stakeholders, and ensure timely, accurate completion of administrative functions in support of the department’s mission.

Requirements

  • Bachelor’s degree and/or equivalent training and two (2) years of recent administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.
  • Work experience should demonstrate budget analyst competency.
  • Regular and reliable attendance is required.
  • Working knowledge of general practices, program, and/or administrative specialty.
  • Basic knowledge of and ability to apply fundamental concepts.
  • Working knowledge of budget policies and procedures.
  • Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
  • Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
  • Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
  • Ability to organize and plan work and projects including handling multiple priorities.
  • Ability to make independent decisions and exercise sound judgment.
  • Ability to compile, write, and present reports related to program or administrative specialty.
  • Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.
  • Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.

Responsibilities

  • Provide overall administrative support for the Office of Civil Rights & Compliance to ensure efficient daily operations.
  • Serve as the primary administrative contact for the office, responding to routine inquiries and directing internal and external stakeholders to appropriate resources.
  • Coordinate calendars, meetings, and scheduling for CRC leadership, including preparation of agendas, meeting materials, and logistical arrangements.
  • Arrange travel for CRC leadership and staff, including preparing travel requests, processing reimbursements, and ensuring compliance with CSU and campus travel policies.
  • Maintain organized electronic and physical records related to office operations, training activities, and administrative processes in accordance with retention requirements.
  • Support office operations by coordinating workflows, tracking deadlines, and supporting departmental processes to ensure timely and accurate completion of work.
  • Draft routine correspondence, reports, and summaries using established formats and guidelines.
  • Assist with maintaining internal procedures and reference materials to support consistent administrative practices.
  • Assist with internal reviews, audits, or information requests by compiling requested data and documentation as assigned.
  • Serve as the primary administrative support for the department’s case management system, ensuring accurate data entry, maintenance, and organization of case records.
  • Update and maintain CRC website content to ensure information is current, accurate, and accessible, following established guidelines and approvals.
  • Support departmental compliance-related activities by assisting with the implementation of established administrative procedures and maintaining records and documentation in accordance with applicable institutional policies and regulatory requirements related to civil rights, equity, and misconduct response.
  • Serve as a departmental point of contact for routine budget and procurement inquiries, ensuring compliance with applicable fiscal guidelines.
  • Track office expenditures, encumbrances, and balances using campus financial systems and spreadsheets; reconcile records and flag discrepancies for review.
  • Assist with budget monitoring by compiling routine fiscal reports and summaries for leadership review.
  • Process procurement transactions including requisitions, purchase orders, invoices, and payment requests in accordance with CSU and campus policies.
  • Coordinate purchasing of office supplies, equipment, and services; maintain inventory records and track asset assignments.
  • Support fiscal year-end activities by organizing documentation, tracking deadlines, and assisting with required submissions.
  • Serve as a liaison with campus financial and procurement offices to resolve routine issues and ensure timely processing.
  • Coordinate scheduling and logistics for training sessions and outreach events, including room reservations, virtual meeting setup, and coordination with internal and external partners.
  • Communicate logistical information to participants, presenters, and campus partners using established messaging and templates.
  • Maintain training calendars, attendance records, and related documentation.
  • Assist with tracking participation metrics and compiling basic summaries related to training and outreach activities.
  • Update outreach materials, ensuring they are current, accessible, and readily available across campus.
  • Assist with researching and designing new outreach materials and strategies in coordination with the AVP.
  • Serve as a point of contact for routine inquiries related to departmental outreach activities.
