About The Position

The Circulation Manager provides management and oversight of library employees who come into direct contact with the public, ensuring high quality customer service at every opportunity. Responsible for the general operation of the Circulation department of the Level I designated branch, including supervising, scheduling, evaluating, and training circulation staff in order to ensure an exceptional customer experience. Meets minimum public service hours as defined by Library Administration.

Requirements

  • Associate degree required, Bachelor’s degree preferred.
  • Two (2) or more years of related job experience with bachelor’s degree.
  • Three (3) or more years of related job experience with associate degree.
  • One (1) year of supervisory experience with bachelor’s degree.
  • Two (2) years of supervisory experience with associate degree.
  • Ability to work day, evening, and weekends hours.
  • Ability to obtain and maintain a favorable criminal background report.
  • Knowledge of Circulation and/or Circulation Assistant practices and principles
  • Knowledge of customer service practices and principles
  • Extensive experience resolving customer issues with an assertive, empathetic and calm demeanor
  • Ability to operate relevant computer systems, including hardware and software and office machines
  • Ability to learn to maintain and organize library materials
  • Ability to train staff, volunteers, and others as assigned
  • Ability to prepare and maintain accurate records
  • Ability to be adaptable, flexible and patient with customers and staff
  • Previous cash handling experience
  • Strong communication skills, both verbal and written
  • Basic math and language skills

Responsibilities

  • Ensures the efficient and effective operation of the circulation department
  • Opens and closes the branch, as assigned
  • Prepares the money reports
  • Prepares pull-list materials and sends to appropriate location
  • Performs circulation tasks as needed to include material check-in and out, repairing damaged items, registering customers for library cards, and returning books to the proper shelf location
  • Resolves internal and external customer complaints
  • Negotiates fines and fees in accordance with established policies
  • Books meeting rooms
  • Troubleshoots branch machinery and computers, as necessary
  • Prepares schedules to ensure proper staffing levels are maintained
  • Oversees and manages the branch office supplies
  • Monitors departmental budget
  • Serves as hiring manager and supervises assigned staff, as well as assigned volunteers
  • Oversees the training of staff and volunteers, as assigned
  • Administers the Performance Recognition System (PRS), the library’s performance evaluation system, in accordance with published guidelines
  • Approves annual leave and checks and tabulates timesheets for assigned staff
  • Prepares monthly reports, meeting agendas, and monthly schedules
  • Interprets and implements system-wide policies and procedures
  • Schedules and facilitates department/team meetings
  • Ensures staff receive and understand system and department communications via written or electronic format
