About The Position

The UW CHW Portfolio Operations Coordinator provides high‑level project management and operational coordination for a large‑scale, statewide Community Health Worker (CHW) workforce development portfolio administered by the UW Population Health Institute. Grounded in core CHW values—trust, community partnership, and accountability to CHW leadership—this position oversees the day‑to‑day operations of CHW Workforce development as part of the Rural Health Transformation Program (RHTP), including coordination with approximately 50 funded organizations across Wisconsin. Key responsibilities include managing project timelines and deliverables, tracking and documenting training and technical assistance (TTA), coordinating meetings and convenings, supporting required reporting, and maintaining shared operational systems and resources. Working closely with senior program leadership, the Operations Coordinator ensures efficient, compliant program execution while supporting CHW‑led practice and building the infrastructure necessary to sustain and strengthen the CHW workforce in rural and underserved communities. This position may require some work to be performed in-person, onsite, at a designated campus work location. Some work may be performed remotely, at an offsite, non-campus work location. Must provide a valid driver's license. Employees may use their own transportation or receive approval for University Car Fleet usage. Employment is conditional pending the results of a Pre-hire Driver Authorization Check.

Requirements

Demonstrated experience working with Community Health Workers (CHWs) or CHW‑led organizations, initiatives, or workforce development efforts.
Experience coordinating complex projects or programs, including managing timelines, deliverables, meetings, and documentation for multiple stakeholders.
Demonstrated understanding of CHW values and practice including respect for CHW‑led models.
Experience supporting administrative and operational processes, such as tracking deliverables, maintaining documentation, coordinating reporting, or working within state grant‑funded programs.
Strong organizational and communication skills, with ability to manage multiple priorities, meet deadlines, and communicate effectively with community partners and institutional staff.
Familiarity with UW–Madison, UW System, or similar higher‑education administrative and fiscal processes, including working with finance, HR, or sponsored programs staff.
Proficiency with common office and collaboration tools (e.g., Microsoft Office, Google Workspace, spreadsheets, shared document platforms), including webinar support and production.
Must provide a valid driver's license.

Nice To Haves

Lived or professional experience as a Community Health Worker or Community Health Worker Ally.
Experience developing or maintaining operational systems (e.g., trackers, shared resource repositories, standardized templates, or internal workflows).
Experience coordinating training and technical assistance (TTA) initiatives, learning collaboratives, or community‑based capacity‑building efforts.
Experience supporting grantee or subcontractor coordination, including communication with multiple organizations across geographic regions.
Experience working with state or federally funded grants, including tracking activities, supporting budgets or expenditures, and assisting with required reporting.
Ability to navigate institutional requirements while centering community and CHW priorities, ensuring administrative processes support—rather than undermine—CHW practice.

Establishes, monitors, coordinates, and controls project budgets versus actual expenditures and budget reporting
Coordinates and supports communications efforts
Schedules day-to-day activities for program staff and student and community volunteers
Directs the implementation of program policies and procedures
Schedules and secures logistics and resources in support of an outreach program
