About The Position

The Child Care Operations Assistant reports to the Business Operations Manager and is responsible for the efficient scheduling of classroom, kitchen, and office staff to ensure the provision of a high-quality early learning environment. This role requires at least one year of experience in an early learning setting and familiarity with the administrative requirements of child care. The Assistant functions under the direct supervision of the Business Operations Manager and functional guidance of the Director, Child Care Operations Administrator, and Pedagogical Leader. The role is accountable for the daily, weekly, and monthly scheduling of staff to ensure compliance with the CCEYA ratio requirements and CCLC operational requirements.

Requirements

  • Excellent communication and interpersonal skills for working collaboratively with the CCLC staff team, being the first point of contact in the front office, and supporting classrooms in ratio.
  • Confidence, sound judgement, and flexibility are necessary skills for the daily scheduling of a large staff team within the legislative requirements of the Child Care and Early Years Act (CCEYA).
  • Ability to respond appropriately in sensitive and emergency situations.
  • Ability to work in a fast-paced environment, adapt to changing needs and priorities, and appropriately direct calls and manage challenging situations is essential.
  • Maintain professional boundaries and confidentiality at all times.
  • 1 year of experience in an early learning setting and familiarity with administrative requirements of child care
  • Current certification in Standard First Aid and CPR-C (infant/child) certification and a current Vulnerable Sector Police Check is required.
  • Proficiency using Microsoft Office applications, Word processing, iPad apps, CourseLink, electronic scheduling, and time management software
  • Proficient using computer, photocopier, laminators, iPad, and small office equipment
  • Demonstrated excellent attendance record.

Nice To Haves

  • Post-secondary education in early childhood studies is preferred
  • Experience coordinating staffing in an environment with complex scheduling needs is preferred
  • Current registration with the College of Early Childhood Educators is preferred

Responsibilities

  • Creating and revising the daily, weekly, and monthly schedules to ensure coverage for program meetings, staff lunch breaks, practicum tutorials, family meetings, morning and afternoon ratio, office, and kitchen
  • Screening phone calls and in-person visitors; supporting with administrative duties; and working in ratio in the child care classrooms
  • Arranging coverage for time-off requests based on supply availability, student class schedules, and ability in the specified classroom
  • Admitting visitors using electronic access camera system, relaying messages to classrooms, supporting safe arrival process by monitoring attendance and contacting families
  • Providing classroom support including the responsive care for children and assisting with basic physical needs such as feeding, resting, toileting, and dressing
  • Maintaining health and safety standards, including providing appropriate supervision of children, following all required sanitary practices, executing basic first aid as required, and following outlined protocols during emergencies
  • Interacting with children during play to expand their development and learning; supporting children’s interactions and relationships
