About The Position

The Certified Medical Assistant role involves both administrative and clinical duties within a medical setting. Key responsibilities include managing patient check-in and check-out, handling phone calls, verifying insurance, scheduling appointments, collecting payments, preparing patients for examinations, assisting with procedures, and performing diagnostic tests. The role requires meticulous record-keeping using electronic health record systems and adherence to privacy regulations.

Requirements

  • Completion of an accredited Medical Assistant program.
  • Current Medical Assistant Certification by the American Association of Medical Assistants (AAMA) Certified or other equivalent certification organization.
  • At least 1-year of relevant medical assistant experience in a physician office.
  • Broad understanding of clinical operations and physician office practice.
  • athenaClinicals electronic health record experience.
  • Experience with other secure clinical communication and billing applications such as PMD soft.
  • Demonstrates knowledge and understanding of HIPAA and other patient privacy laws.
  • Maintains rigorous confidentiality of all medical, financial, or other sensitive materials and information.
  • Ability to perform basic patient data entry into athenaClinicals electronic health record and use Microsoft Office suite.
  • Basic knowledge of medical examination, diagnostic and treatment room procedures.
  • Knowledge of medical terminology.
  • Comply with all HIPAA, OSHA, Compliance, and IT standards and policies.

Nice To Haves

  • Current CPR certification preferred.
  • Nephrology medical office or dialysis experience highly preferred.

Responsibilities

  • Greets patients and performs Check-in/Check-out procedures accurately and efficiently.
  • Collects co-pays and outstanding patient balances.
  • Prints orders and educational materials for patients.
  • Schedules procedures and obtains necessary insurance and payment information.
  • Answers phone calls promptly and schedules appointments.
  • Maintains assigned clinical inboxes in the athenaClinicals electronic medical record system.
  • Rooms patients and completes full patient intake, including vitals, allergies, medication reconciliation, and vaccination recording.
  • Assesses patient symptoms, reactions, and physical condition, and records all data in athenaClinicals.
  • Determines response priority and level for patient telephone calls and portal messages, consulting with providers and documenting appropriately.
  • Collects specimens and follows CLIA regulations.
  • Assists with facilitating referrals to specialty care, imaging, or laboratory studies.
  • Coordinates with others to ensure patients are appropriately set up for required lab studies or imaging.
  • Calls patients with test results or instructions as provided by the physician or other healthcare providers.
  • Prepares for patient office visits and prepares lab work in patient charts.
  • Makes patient reminder calls for lab work.
  • Scans and attaches patient medical records and administrative documents in athenaClinicals.
  • Reviews and processes incoming faxes and flow labs that are not electronically sent.
  • May participate in preparing payment batches and maintaining accurate office cash transactions.
  • Processes medication authorizations and refills.
  • Organizes drug sample closet and discards expired medications appropriately.
  • Reschedules patients as appropriate by maintaining the athenaclinicals automated appointment scheduling reminder system.
  • Maintains appointment waitlist and schedules appointments from the waitlist when feasible.
  • Exercises sound judgment when dealing with challenging and stressful situations.
  • May occasionally act as a trainer for other medical support staff or students.
  • Performs other duties and responsibilities as required, assigned, or requested.
