About The Position

The Rooming Medical Assistant (MA) plays a vital role in ensuring that patients are prepared for their visits and that the physician is fully supported during examinations and procedures. This role focuses on preparing the exam or procedure room, preparing the patient to be seen, fulfilling doctor's orders, and handling key administrative tasks such as scheduling surgeries, answering patient messages, and calling in prescriptions. The ideal candidate will be detail-oriented, organized, and skilled at providing exceptional patient care.

Requirements

  • High school diploma or equivalent.
  • Proficient with Electronic Health Records (EHR) systems and office scheduling software.
  • Excellent interpersonal and communication skills for patient interaction.
  • Ability to maintain a professional and calm demeanor in a fast-paced environment.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize efficiently in a busy clinical setting.
  • Commitment to patient confidentiality and adherence to HIPAA regulations

Nice To Haves

  • Certification as a Medical Assistant (CMA) or equivalent is preferred.
  • Previous experience in an OBGYN or women's health setting is highly desirable.
  • Strong knowledge of medical terminology, particularly in OB/GYN.
  • EPIC experience is a plus.
  • CPR (Basic Life Support) certification preferred or willingness to obtain.

Responsibilities

  • Prepare the exam room for patient visits, ensuring all necessary equipment and supplies are available.
  • Escort patients to exam rooms and prepare them for their visit with the assigned physician.
  • Ensure that all physician orders are fulfilled, including medication prescriptions and lab tests.
  • Schedule surgeries and other medical procedures as directed by the physician.
  • Answer patient messages promptly, ensuring clear communication and follow-up.
  • Maintain patient confidentiality and adhere to HIPAA guidelines.
  • Coordinate patient flow to optimize appointment schedules.
  • Support the physician by preparing necessary patient information prior to the visit.
  • Assist with any additional duties as assigned by the physician or office management team.
  • Cross-train in other clinical positions within the practice.
  • Greet and escort patients to exam rooms
  • Take vitals, record medical histories, and prep patients for exams
  • Assist with procedures like LEEP, colposcopies, IUD insertions, etc.
  • Administer medications and perform injections as directed
  • Collect lab specimens and prepare for testing
  • Sterilize equipment and maintain clean exam rooms
  • Support physicians during exams and procedures
  • Schedule appointments and coordinate follow-ups
  • Maintain accurate electronic medical records (Epic experience preferred)
  • Help manage insurance forms, billing, and authorizations
  • Communicate lab results and care instructions to patients
  • Order and stock medical and office supplies
