About The Position

UPMC Vascular Surgery – Central Scheduler Are you someone who thrives in a fast-paced environment and enjoys helping patients navigate their care? UPMC Vascular Surgery and Vein Center are seeking a detail-oriented and organized individual to join our team! Schedule: Monday – Friday from 7:00 AM – 4:30 PM No weekends or holidays Travel: Some travel to our Harrisburg Vein Center location may be required to assist with staffing support What is a typical day in this position? As a Patient Services Representative, you will play a vital role in creating a positive patient experience while supporting the daily operations of a busy medical practice. In this position, you will greet and assist patients during the check-in and check-out process, verify and update demographic and insurance information, and ensure medical records are accurately maintained within the electronic health record system. A typical day also includes answering incoming phone calls, scheduling office visits, procedures, and diagnostic testing appointments, and coordinating care with multiple offices to help new and referred patients access the services they need. You will work closely with providers and clinical staff to manage scheduling changes, communicate appointment updates to patients, and ensure schedules remain accurate and efficient. Success in this role requires strong communication and organizational skills, attention to detail, and a commitment to providing exceptional customer service. The ideal candidate enjoys working in a fast-paced environment, collaborating with team members, and helping patients navigate their healthcare journey with professionalism and compassion. EPIC and previous registration/scheduling experience preferred.

Requirements

  • High school diploma or equivalent required.
  • Two years' experience working in a physician's office or medical field required.
  • Associates degree required in lieu of experience.
  • Act 34

Responsibilities

  • Greet and assist patients during the check-in and check-out process.
  • Verify and update patient demographic, insurance, and registration information.
  • Upload and maintain patient records and documentation within the electronic medical record system.
  • Schedule and coordinate office visits, procedures, and diagnostic testing appointments.
  • Contact patients regarding upcoming appointments, required documentation, insurance information, and co-pay expectations.
  • Assist with rescheduling appointments when provider schedules change.
  • Answer incoming calls, direct inquiries to the appropriate department, and take messages as needed.
  • Assist patients in identifying and connecting with appropriate providers based on their healthcare needs.
  • Maintain appointment schedules in accordance with office policies and procedures.
  • Create, maintain, and accurately enter information into databases and practice management systems.
  • Compile, organize, file, and manage patient and office records.
  • Deliver exceptional customer service while fostering a welcoming and professional environment for patients, families, and colleagues.
  • Adhere to organizational policies, quality standards, and patient safety practices.
  • Collaborate with providers, clinical teams, and administrative staff to support efficient patient care operations.
