About The Position

The Central Intake Representative (CIR) is responsible for managing the centralized psychiatric intake admission process for inpatient and outpatient visits, including insurance eligibility verification. This role aims to improve referral source and patient satisfaction by ensuring a prompt and accurate intake process for the organization's psychiatric programs. The CIR facilitates timely communication from referral to admission approval or denial, collects data, and presents it to providers for admission consideration. They assist with initial registration, input into the facility's EHR, address patient concerns, and operate within response timelines to reduce patient approval/denial wait times. The CIR must manage daily processes, possess extensive knowledge of insurance eligibility and verification, and demonstrate strong organizational, time management, and multitasking skills to accurately collect data and adhere to referral criteria. They secure clinical and psychosocial information from referring agencies to expedite presentations to the on-call Psychiatrist for admission status determination and appropriate level of care. The CIR ensures timely patient-specific presentations and communicates with hospital leaders and departments prior to final admission approval. They provide clinical presentations to the on-call psychiatrist based on the physician coverage schedule. The Central Intake Representative reports directly to the Central Intake Coordinator.

Requirements

  • State accredited program completion
  • Clinical License Recommended, LPN and RN Preferred
  • Minimum 1 year in Intake or Admission Department or experience in related environment
  • Proficient knowledge of PC computers and communication software utilization
  • Effective verbal communication skills
  • Effective organizational skills
  • Basic understanding of medical and psychiatric diagnoses and conditions
  • Effective interpersonal skills
  • Analytical problem solving skills
  • Ability to read and comprehend written instructions; ability to follow verbal instructions
  • Basic understanding of ICD-10 and CPT coding methodology
  • Reliably commute or planning to relocate before starting work (Required)
  • Customer service: 1 year (Preferred)
  • Medical terminology: 1 year (Preferred)
  • Computer skills: 1 year (Preferred)

Responsibilities

  • Perform all tasks related to the organizations centralized psychiatric intake admission process of inpatient and outpatient visits including insurance eligibility verifications when applicable.
  • Enhance referral source and patient satisfaction by providing a prompt and accurate centralized process for the handling of referrals for the organizations psychiatric programs.
  • Ensure urgency and timely communication throughout the referral until the individual hospital admission approval and or denial.
  • Drive data collection and provide the presentation through defined process and technology to the approved provider of facility for admit consideration.
  • Assist in the initial registration and input of facilities E.H.R.
  • Disclose any patient concerns.
  • Operate inside the response timeline to promote shortened patient approval/denial wait times for consideration of services.
  • Manage and lead defined processes per shift daily.
  • Provide support and assistance in needed situations.
  • Secure pertinent clinical and psychosocial information from the referring agencies/facilities which are utilized to expedite admission presentations to the on-call Psychiatrist so he/she may determine the admission status and appropriate level of care for each referral.
  • Assure timely patient-specific presentation and communicate to hospital leaders/departments/units prior for final admission approval.
  • Provide clinical presentations to the psychiatrist on call for each program as determined by the physician coverage programs schedule.
