About The Position

The Center Manager is responsible for directly managing and overseeing the daily operations of the Health Center, ensuring that all services are delivered in a timely, efficient, and high-quality manner. This role involves collaborating with teams to define and implement key performance indicators (KPIs), using data to monitor trends and identify gaps, and coordinating patient flow to minimize wait times and optimize access to care. The Center Manager also facilitates interdisciplinary rounds, manages staffing, and assists with the health center's financial performance. Additionally, the role involves policy and procedure development, staff supervision and development, quality improvement initiatives, operational reporting, provider support, and inventory management. Collaboration, team building, and fostering a positive work environment are key aspects of this position. Marginal duties include representing the health center in public relations, monitoring staff adherence to policies, and performing additional administrative functions as needed.

Requirements

  • Registered Nurse (RN) required
  • Current RN license in the state of Michigan is required.
  • 3-5 years previous experience working in a community health or hospital setting required.
  • An understanding of healthcare operations is highly desirable.
  • A minimum of 3 years of experience in a healthcare or clinical setting required, 5 years or more preferred.
  • A minimum of 3 years of supervisory or management experience required, 5 years or more preferred.
  • Proven strong leadership, organizational, and decision-making skills.
  • Ability to set priorities and manage competing demands in a fast-paced environment.
  • Demonstrated problem-solving skills, including the ability to handle patient complaints and staff performance issues.
  • Self-motivated, with the ability to work independently and effectively with minimal supervision.
  • Detail-oriented with excellent time-management skills and the ability to prioritize multiple tasks.
  • Excellent communication skills, with the ability to interact effectively with diverse populations, patients, providers, staff, and community members.

Responsibilities

  • Directly manage and oversee the daily operations of the Health Center, ensuring that all services are delivered in a timely, efficient, and high-quality manner.

  • Use data to monitor trends, identify gaps, and drive evidence-based decisions that enhance patient care, safety, and operational efficiency.
  • Coordinate patient flow, ensuring effective scheduling, minimal wait times, and optimal access to care for all patients.
  • Facilitate interdisciplinary rounds and team meetings to promote collaboration between clinical and non-clinical staff, ensuring seamless communication across departments.
  • Work with other department managers/supervisors to align operations with organizational goals and quality standards.
  • Responsible for filling in for staffing shortages for assigned staff (MA's, Nursing, Front Desk) as necessary to promote continuation of smooth clinic operations and quality patient care.
  • Manage staff time off request and staff present on site per GLBHC policies.
  • Assures appropriate level of staffing at all times to meet patient and provider needs.
  • Assist with the health centers financial performance within established guidelines, working directly with the finance and operations teams to ensure financial performance is aligned with organizational objectives.
  • Evaluate equipment and supply requests, ensuring cost efficient purchasing decisions are made in the best interest of the center.
  • Responsible for overseeing the accurate and timely submission of timesheets, ensuring all hours worked are properly recorded and complement the company policies.
  • Actively monitoring direct reports attendance and work hours, identifying discrepancies, and taking corrective actions when necessary.
  • Minimizing the use of overtime by optimizing scheduling, improving time management, and collaborating with team leads to balance workloads effectively.
  • Collaborate with Leadership to review operational policies and procedures that optimize the center's efficiency and patient care standards.
  • Ensure compliance with organizational policies and regulatory requirements, consistently adhering to established procedures.
  • Provide direct supervision and leadership to a diverse staff, ensuring appropriate staffing levels to meet patient care needs.
  • Oversee recruitment, performance evaluations, timely corrective actions, and professional development for assigned staff.
  • Follows all GLBHC policy for corrective actions and confers with HR as necessary.
  • Maintain high standards of staff performance, including overseeing front desk workflows, accurate patient registration, and adherence to quality control measures.
  • Assures all staff are working up to the peak of their scope and job duties.
  • Initiate and monitor Quality Improvement (QI) activities to enhance patient care, safety, and satisfaction, ensuring the health center achieves targeted performance metrics.
  • Address patient complaints, grievances, and concerns promptly, working with providers and administration to resolve issues and improve the overall patient experience.
  • Promote and maintain a positive image of the center within the community, fostering trust and confidence in the services provided.
  • Promotes integration of care and fosters an environment that allows for inclusion of other disciplines and care teams to be successful in their roles.
  • Collect, compile, and submit statistical data and operational reports to senior management, highlighting key performance indicators and patient outcomes.
  • Identify and report on cost-saving initiatives, streamline workflows, and optimize resource allocation to enhance operational efficiency and maximize performance.
  • Maintain accurate provider schedules in coordination with the Assistant Clinical Services Director and Medical Director, ensuring appropriate coverage and patient access.
  • Approve time-off requests, manage provider leave schedules, and ensure timely completion of timesheets and other administrative tasks.
  • Address provider desk workflows and other needs to ensure smooth operations and high provider satisfaction.
  • Oversee the inventory and ordering of clinical and office supplies, ensuring that the health center is always adequately stocked to meet patient care needs.
  • Follows best practices for supply chain management to reduce waste and maintain cost-effective inventory control.
  • Responsible for site vaccine inventory, ensuring that supplies are maintained at appropriate levels to meet patient needs.
  • Completes and submits monthly Vaccines for Children (VFC) paperwork in a timely and accurate manner.
  • Accountable for monitoring and addressing any inventory variances and ensuring the proper storage and viability of vaccines.
  • Responsible for maintaining 340B stock medications at the site in compliance with all policy and procedures.
  • Provide ongoing coaching, mentorship, and support to all members of the team.
  • Identify development needs, facilitate training opportunities, and guide team members toward clinical and professional growth.
  • Promote a culture of accountability, collaboration, and lifelong learning.
  • Develop vision casting by communicating a clear, strategic vision that aligns with the organization's mission and goals.
  • Inspire clinical and non-clinical teams to pursue excellence in patient care, innovation, and continuous improvement.

  • Conduct regular staff meetings, huddles, and team-building activities to communicate center goals, expectations, and updates, while soliciting feedback and encouraging staff input.
  • Promote a positive and supportive work environment that fosters teamwork, mutual respect, and high morale.
  • Represent the health center in public relations activities and community events as requested by Supervisor to promote the services and initiatives of GLBHC.
  • Monitor staff adherence to professional dress code, attendance, and company policies.
  • Assist in other administrative functions as needed.
  • Attend staff, provider, and administrative meetings as assigned, contributing to the ongoing development of center operations.
  • Perform additional duties as assigned by the Assistant Clinical Services Director or Senior Leadership.
